This is a part-time, non-benefit eligible position consisting of approximately 20 hours per week. The preferred schedule will be Tuesday through Thursday from 8am-12pm and Friday from 8am-4:30pm.

JOB DESCRIPTION
POSITION SCOPE
Utilizing basic clerical experience and significant knowledge of the assigned area, this position performs clerical duties for the police department utilizing a computer, basic office equipment, and skilled operation of a wide variety of products and software. This position's primary responsibility will be to assist customers that come into the front counter and respond to public records requests in accordance with Wisconsin's Open Records Laws. The Administrative Associate can be assigned to assist others in the Records Division with various tasks, as requested by the Records Supervisor.
ESSENTIAL FUNCTIONS
Maintains all police department records where significant knowledge is required in regard to state laws, city ordinances, and other applicable department regulations.
Responds to public records requests in a timely manner. Must be able to exercise decision-making that is consistent with Wisconsin State Statutes, confidentiality laws, and departmental rules.
Must be able to interact and communicate well with other departmental employees as significant contact with other civilian personnel, officers, and supervisors is required.
Works cooperatively with external agencies in order to fulfill not only their own job duties but to provide the best possible service to the department and the public. Significant contact with outside agencies includes, but is not limited to, the District Attorney's Office, Clerk of Courts, Probation and Parole, and Human Services.
Must be able to handle both positive and negative contact with the general public either in person or on the phone.
Uses computers, scanners, calculators, copy machines, multi-lined phone system, and other related office equipment to complete work assignments on a time schedule basis.
Assists in data entry that adheres to specific departmental guidelines and the Federal Information Bureau guidelines for Uniform Crime Reporting.
Must be able to learn and efficiently use various types of standard and specialized software programs.
Maintains follow-up on assigned projects, filing, and compiles regular and non-routine reports and statistical information from general instructions. Reports unusual deviations or discrepancies to supervision.
Abides by the Eau Claire Police Department Policy and Procedures Manual as well as the Employee Handbook.

EDUCATION/EXPERIENCE/CERTIFICATIONS
High School Diploma or equivalent (GED, etc.) required.
Associate's degree in related field preferred.
Must have no felony convictions on record.
A minimum of two years of customer service experience is preferred.

The ability to learn and efficiently use various types of standard and specialized software programs is required.
Preferred minimum typing speed is 50 wpm.
Maintains prompt, predictable, and regular physical attendance.

The total contribution is 13.8% of earnings, with the City and the employee each contributing 6.9%.
Life Insurance
If enrolled in the Wisconsin Retirement System, available participation in the Basic, Supplemental, Additional, and Spouse and Dependent life insurance program. The employee is responsible for the monthly premium amount. The amount of insurance is dependent upon the annual salary of the employee.
