Inside the Role
As the Executive Administrative Assistant you will support the Vice President as well as direct reports on daily administrative needs. You will proactively manage the VP's schedule, travel, preparation for meetings and email, ensuring the VP is always prepared ahead of time. You will also coordinate and organize various departmental and center-wide events and assist with any ad-hoc requests that may arise.

What You Drive at DTFS
  • Support the VP with daily administrative tasks by working closely and effectively to keep them well informed of upcoming commitments and responsibilities. This includes regularly monitoring and maintaining the VP's calendar and incoming email for requests, scheduling meetings, ensuring meeting logistics, reviewing future events and ensuring proactive preparation, and certifying confidentiality of all executive information and documents
  • Update the Credit and Operations monthly calendar and employee directory
  • Coordinate all domestic and internation business travel needs from mention to completion. This includes confirming travel dates and needs, booking travel arrangements, confirming necessary travel documentation (passports, visas, etc.), referencing details on calendar, coordinating with other travelers and teams, and preparation of VP's travel expense reports
  • Maintain office supplies inventory for team. This includes anticipating needed supplies, place and expedite orders and verify receipt of supplies and submit necessary expense reports. Assist with invoicing by creating Purchase Orders, processing invoices, initiate departmental cross charges, utilize SAP to confirm monthly transactions, and work with teams to confirm compliance
  • Organize, coordinate, support and serve as key contact for department/organization meetings and activities, including employee-focused/large corporate celebrations, executive town halls, brand partner/dealer/customer relations efforts, cultural events, team-building events, and other VIP activities. Serve as primary contact for company guests
  • Collaborate with senior leadership, human resources, and corporate communications teams for production and distribution of internal communications such as team member announcements, company/departmental newsletters/emails and other company related notices. Act as liaison between executive office and department and shared services, including IT, Facilities, Security, and the onsite Cafe
  • Assist departmental Credit Committee members and teams with prep and execution of weekly meetings, and collaborate with regional executive teams to schedule monthly review meetings. Maintain internal credit file database, organize credit committee meetings, author committee meeting minutes/approvals and distribute signoff sheets appropriately. Work with credit teams to confirm audit compliance
  • Supporting strategic business specialist and VP's senior managers with ad-hoc requests. Act as a consultant to other administrative staff for best practices, guidelines, templates and process support. Support executives in the absence of their administrative assistant. Serve as a key contact with local facilities manager
Knowledge You Should Bring
  • High School Diploma or GED
  • 1+ years of related experience in Business, Accounting, Administration, Customer Service or related
  • Familiarity with Microsoft Office suite, including proficiency with calendar and email
  • Excellent communication and strong writing skills and the ability to collaborate with all hierarchical levels, including Sr. Executives
  • Time management and planning skills, ability to multitask and be proactive
Exceptional Candidates Might Have
  • 3+ years of Executive Administrative Assistant experience supporting senior level position or above
  • Bachelors Degree in Accounting, Business Administration, Finance or related field
  • 1+ year of Executive Administrative Assistant experience supporting a senior level position or above
  • Event coordination skills
  • General familiarity with accounts payable functions and/or systems
