INTRODUCTION:

The Family Violence Program Office Manager will organize and coordinate office procedures for the Family Violence Program on the Spokane Indian Reservation. The role is to create and maintain a pleasant and safe environment for the FVP visitors and staff. This position involves management of all aspects of our front office. Ensures high levels of organizational effectiveness, communication, and safety, while welcoming visitors with compassion and dignity.

The office manager will ensure smooth running of our office and contribute in supporting a positive, safe, and confidential environment.

MAJOR DUTIES & RESPONSIBILITIES:

  • Keep track of office supply inventory and place orders when necessary
  • Coordinate office activities and operations to secure efficiency and compliance to FVP and Spokane Tribe policies and procedures.
  • Manage schedules, appointments etc. for staff
  • Coordinate meetings and appointments.
  • Minor bookkeeping.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support with some budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and client data
  • Assist colleagues whenever necessary to coordinate community events
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, form design, and other office procedures and terminology.
  • Applicants must always conduct self ethically and professionally.
  • Excellent written and verbal communication skills
  • Knowledge of confidentiality procedures
  • Ability to multi-task
  • Self motivated
  • Attention to detail
  • Customer service experience
  • Knowledge of common office and administrative procedures.
  • Mid or advanced-level proficiency with Microsoft Office products (Excel, PowerPoint, Outlook, etc.) or willing to complete training
  • Ability to work independently or as part of a team
  • Highly organized with the ability to prioritize and multitask
  • Knowledge of Native American culture and issues that affect them locally and nationally such as MMIWP
  • Dependable with a professional and caring attitude towards our clients
  • Ability to pass a background check
MINIMUM QUALIFICATIONS:
  • High School diploma/GED OR a minimum of 3 years equivalent experience in an office setting required
  • Experience working with local and state tribal agencies required
  • Must be computer literate with internet and Microsoft office tools knowledge and experience
  • Valid driver's license and a good driving record for insurance purposes
PREFERRED QUALIFICATIONS:
  • Associates degree from an accredited college or university in Business, Social studies or Business-related field
  • Office Manager Certification or willing to obtain through position
