POSITION:
Executive Assistant to the CHRO, Safety & Compliance Director JOB SUMMARY:
Providing high-level administrative support to the head of HR, managing their calendar, coordinating trainings and development, handling confidential correspondence, preparing reports, and acting as a liaison between the CHRO and internal/external personnel, requiring strong organizational skills, discretion, and proficiency in HR & office safety practices and procedures. Calendar Management:
Proactively manage the CHRO's complex schedule, including scheduling meetings, appointments, and internal/external events. Meeting Coordination:
Prepare agendas, gather necessary materials, distribute meeting minutes, and follow up on action items. Draft and edit emails, letters, and presentations on behalf of the CHRO, ensuring accuracy and professional tone. Expense Reporting:
Track and submit expense reports for the CHRO in compliance with company policies. Project Support:
Assist with special projects related to HR initiatives, such as employee engagement programs, talent acquisition, or diversity and inclusion programs. Confidentiality:
Maintain strict confidentiality regarding sensitive HR information and employee matters. High Level Communication Management:
Interact effectively with senior executives, HR team members, and external vendors. Reporting and Analysis:
Compile data and prepare reports as needed to support HR decision-making. Office Administration:
Manage office supplies, maintain filing systems, and coordinate office logistics. Recruitment and Hiring Support:
Assist with job postings, resume screening, scheduling interviews, and other recruitment and hiring tasks. Employee Relations:
Assist with employee communications, conflict resolution, disciplinary actions, and other employee relations tasks, ensuring productive engagement. Training and Development:
Assist with training and development tasks, including scheduling training sessions, and tracking employee progress, ensuring that your workforce is equipped with the skills and knowledge necessary to succeed. Compensation and Benefits:
Assist with compensation and benefits tasks, including managing benefits program updating. Compliance Assistance:
Help ensure that the organization remains compliant by tracking deadlines, maintaining records, and assisting with audits and reporting. Workers Compensation:
