Title: Special Events Coordinator Location: Midtown Org Unit: Events Work Days: Monday-Friday Weekly Hours: 35.00 Exemption Status: Exempt Salary Range: $70,000.00 - $85,000.00 *As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices Position Summary Under guidance, this position assists with the coordination, logistics and execution of Weill Cornell Medicine's special events and programs. Job Responsibilities Participates in events strategy development. Handles all logistical elements of events, including identifying venues, arranging audio-visual solutions, working closely with venue personnel, caterers, seating arrangements and vendor management. Works with gift officers to compile mailing list parameters to generate appropriate lists for event mailings. Ensures compliance with all policies, regulations, and laws pertaining to content and use of donor/patient data and IRS regulations. Recommends and implements procedures for smooth functioning of special events team. Works with Operations related to Legal review of contracts and agreements. Proactively monitors payment cycle for various events. Creates financial reports and ensures that event expenses are charged to the appropriate budgets. Designs, fact-checks, and produces event materials including invitations, reply devices, programs and signage. Assists in the preparation of briefings for leadership. Education Bachelor's Degree Experience At least 3 years relevant experience. Significant related experience can be considered in lieu of a degree. Knowledge, Skills and Abilities Advanced organizational and customer service skills with a strong work ethic. Demonstrated proficiency with MS Office Suite and database applications. Previous experience with databases. Previous experience with graphic design software. Demonstrated organizational skills and the ability to juggle multiple projects simultaneously. Licenses and Certifications Working Conditions/Physical Demands Some evening and weekend work. Extensive travel within NYC. Some travel outside NYC.
