Overview

Touro University Nevada is seeking a full-time Administrative Assistant to work collaboratively with the Student Health Center and the Office of Student Involvement to ensure the smooth and efficient operation of both departments. Manages the day-to-day operations of the front office. Responsible for initiating and coordinating clerical, administrative, and data management support for Student Health Center and the Office of Student Involvement. The successful candidate must also demonstrate the University's core values of social justice, intellectual pursuit, and service to humanity through their work.

Responsibilities

  • Works closely with departmental colleagues in every on campus clinical program to maintain effective communication and interpersonal relations.
  • Manage, organize, and collate electronic and paper files.
  • Demonstrate progressive experience providing administrative support to student health staff.
  • Demonstrate highly developed skills working in a fast-paced environment.
  • Knowledge of medical information and required TUN Immunizations, (to include NV State Law).
  • Participate and work in a team-oriented environment in an effective and efficient manner.
  • Establish workload priorities.
  • Exercise tact and diplomacy with diverse personalities in a variety of situations.
  • Demonstrate cultural competence.
  • Manage complex, sensitive, and confidential information.
  • Understanding of HIPAA and FERPA
  • Answer the telephone, emails, and respond to inquiries for information about immunizations and requirements.
  • Draft and/or prepare reports and correspondence.
  • Process incoming and outgoing mail.
  • Create and maintain divisional files.
  • Assist/Collaborate with SHC programming, including flier creation, event advertising, event set up/breakdown and all other aspects of planning.
  • Prepare documents and spreadsheets using Microsoft office suite and other software as appropriate.
  • Understanding and appreciation for working with individuals from a variety of diverse backgrounds
  • Responds to student inquiries for information and/or assistance.
  • Works collaborative1y with others to provide high-level, responsive student services at a dynamic, small university.
  • Creating, typing, copying, and/or filing documents.
  • General front office duties such as answering the telephone, scheduling appointments, answer and direct incoming calls, taking messages, responding to initial inquiries for information and occupying the front desk.
  • Provide clerical support as needed.
  • Ability and motivation to learn new technology to improve office processes.
  • Assist student health staff by managing office operations, preparing major reports, special documents or presentations and handling a variety of confidential documents on a day-to-day basis.
  • Makes independent decisions on the daily activities and priorities for the office.
  • Participate in student events and major ceremonies such as, but not limited to, orientation, white coat ceremony, commencement, etc. which may fall outside of scheduled work hours.
  • Assist in the planning and implementation of OSI events.
  • Assisting with event poster/flyer creations; knowledgeable use of Canva needed or other flyer making software
  • Reviewing and editing documents as needed
  • Assisting with managing DOSA social media accounts and creating content for the pages (Facebook, X and Instagram)
  • Creating and documenting events (pictures, descriptions) in Campus Groups, in coordination with Student groups or OSI.
  • Helping/assisting with budget and contract management
  • Other duties may be assigned as necessary.
Qualifications

Education:
  • Associate degree from an accredited college or university preferred. Medical Assistant Certification Preferred.
Experience:
  • 3 years minimum of relevant experience.
