Job Summary

Shambaugh & Son, LP is looking for an Administrative Assistant. In this position you will be responsible for assisting with all areas of the Fire Fabrication Shop.

Essential Duties and Responsibilities

  • Interact daily with designers, superintendents, fab supervisors and fab manager regarding any questions on foreman’s kits, etc.
  • Maintain various division file information such as time sheets and project archives
  • Payroll for all shop employees, scan wage slips to payroll department
  • Distribute checks to supervisors / employees
  • Maintain attendance records and employee files
  • Weekly attendance sheets for supervisors
  • Incoming foreman’s kits: Print out drawings, stamp, print out stock lists, print label files and upload ITF files
  • Communicate with designers and fabrication coordinator on stock list errors
  • Log in date to shop, weights, welds into job track
  • Keep an updated truck schedule at all times
  • Send out weekly email to designers for needed stock lists
  • Incoming calls
  • Ordering office supplies
  • Help HR with obtaining benefit paperwork for current employees and new hires, also any needed employee information for HR
  • Log and printout employee badges
  • Set up interviews when needed
  • Assist fab manager and supervisors as needed
  • Other duties as assigned
Qualifications
  • High School Diploma or equivalent
  • 3-5 years minimum of administrative office experience
  • Strong verbal and written communication skills
  • Dependable
  • Advanced knowledge of Microsoft Word and Excel
  • Outlook experience preferred, but not required
  • Must be able to multi-task and be very organized
  • Must be a self-starter and able to work with diverse group of construction personnel
  • Proficient with time management
