Description

The Advancement Operations Data Specialist will provide accurate and timely data processing in support of fundraising and engagement initiatives. Working with a high volume of data from various sources, this position will be the primary respondent to requests submitted on behalf of Advancement and university colleagues; will manage online transactions; and will serve as a back-up of gift processing roles/responsibilities. Examples of Duties

Produce, run and regularly update queries, reports and other relevant data to assist with the analysis of constituent and donor activity. Primary respondent to requests submitted through department's ticket system.50Collaborates with annual fund, alumni services, major gift and stewardship colleagues to establish a schedule of data needs to support their endeavors to ensure that all fundraising, "friendraising" and stewardship initiatives are done both timely and accurately. 15Manages all online transactions including gifts, event registrations and membership/constituent updates (including adding new and/or updating existing constituent records as needed). 15Co-manages the events modules in both Raiser's Edge and Encompass. This includes - but is not limited to - creating event records, assisting in the design, implementation and maintenance of webpages and registration forms, monitoring registrations, and creating and running attendance reports.10Serves as second-tier support to the Advancement Operations Coordinator. In that person's absence, can be responsible for check processing, recurring gifts, daily transmittals, etc. 5Establishes and upholds professional competency and currency in the field of advancement services, data management, data analysis and data visualization through professional development, reading, and contacts with colleagues.2Assists in handling phone calls and emails, as well as providing customer services to alumni and constituents.2Performs all other duties and responsibilities as assigned. Supplemental Functions: Collaborates with several departments across campus (including, but not limited to, Athletics, Alumni and Marketing/Communications). Required to be cross-trained in other non-exempt staff roles. Must adhere to the governing documents, policies and procedures established by the university and the Donor Bill of Rights. Some occasional attendance at evening and weekend activities, meetings, events, seminars and workshops.

Typical Qualifications

Associate's Degree required; Bachelor's Degree preferred. Minimum of three years work-related experience in a data-driven environment and expert level user of Microsoft Office. Significant experience/continuing education in database software. Experience with Raiser's Edge/NXT preferred, but not required.

Blackbaud RE/NXT Fundamentals certification to be acquired within the first year of employment, if not already acquired at start date.

Knowledge, Skills, and Abilities

Knowledge of a fundraising database preferred; Blackbaud Raiser's Edge/NXT experience a plus. Excellent computer skills with general knowledge of data entry and analysis. Advanced knowledge of Microsoft Office software, especially Word, Excel and Outlook; and the ability to not only learn new software quickly, but to stay current with emerging technologies. Ability to maintain the integrity and confidentiality of data. Ability to balance priorities to accomplish assigned tasks within the required time frame and to be able to shift quickly between several tasks without the loss of continuity. Proven effectiveness in dealing with a wide range of professionals, staff, and administrators. Effectively communicate general information to university constituency; ability to relay complex or adverse information with tact and diplomacy. Engage in meaningful and intentional professional development appropriate for areas of responsibility. Ability to type, compose and edit correspondence, memos, letters, agendas and reports; revise schedules, forms reports, records and other information; prepare statistical and analytical information for use in reports. Ability to accept supervision, assignments, changes and corrections. Proven effectiveness dealing with a wide range of professionals, staff, administrators, alumni, parents and donors. Ability to successfully pass a criminal background check.

Working Conditions / Physical requirements / Schedule Preferred on-campus, standard office environment, but will consider hybrid or remote environment. Regular exposure to video display screens. Generally, the hours for this position are Monday through Friday, 8:30 a.m. - 5 p.m., but the incumbent must be flexible to meet the department's needs including occasional weekends, holidays, and/or nights.
