Our client is a dynamic and fast-paced financial services firm dedicated to delivering innovative solutions to our clients. They are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to a senior leader, ensuring the efficient operation of their daily activities.
Key Responsibilities:
- Coordinate and manage a complex calendar, including scheduling internal and external meetings across multiple time zones.
- Act as a gatekeeper for all communications, prioritize incoming requests, draft correspondence, and facilitate timely responses.
- Plan and manage domestic and international travel arrangements, including itineraries, accommodations, and transportation.
- Prepare agendas, briefings, presentations, and detailed notes for meetings; track follow-up actions.
- Assist with special projects, research, and compiling reports as needed.
- Process expense reports, monitor budgets, and handle invoices.
- Maintain positive relationships with key stakeholders, clients, and internal teams on behalf of the senior leader.
- Handle sensitive and confidential information with discretion and professionalism.
Qualifications:
- 3+ years of executive administrative experience, preferably in a financial or corporate environment.
- Bachelor’s degree or equivalent work experience is preferred.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools like Zoom, Teams, or Slack.
- Exceptional time management, prioritization, and multitasking abilities in a fast-paced environment.
- Strong written and verbal communication skills.
- Proactive, resourceful, and able to anticipate needs and solve problems independently.
- Demonstrated ability to maintain composure and handle high-pressure situations with grace.
