About the Position
We are seeking skilled Document Control Specialists to join our team supporting large-scale infrastructure projects. In these roles, you will be responsible for maintaining and producing reports. These positions offer the opportunity to enhance document control processes and directly influence project efficiency. By collaborating with senior project staff, you will play a vital role in the successful delivery of our transportation projects.
This posting is for future, long-term, onsite Document Control Specialist positions located in the greater Los Angeles, CA, area or potentially other areas around the state.
Responsibilities Ensure documents are accurately organized, stored, and easily retrievable in both physical and digital formats using the project Document Management System (DMS) and in accordance with company policies, industry standards, and regulatory requirements with appropriate access controls. Handle requests for document access, ensuring that only authorized personnel have access to restricted or sensitive documents. Creation and build out of folder structures. Collaborate to identify improvements to document control processes and help implement them. Support continuous improvements. Perform quality control checks of project documentation for accuracy and compliance with internal standards, correcting any errors found in version tracking or documentation. Assist in preparing documents for internal and external audits. Provide technical guidance and support to Document Control team. Support creation/updates to document control procedures and support appropriate training to project team. Oversee mid-level complexity projects or tasks. Assist in creating reports on document status, compliance, and audit trails for review by management. Monitor KPI's, reporting these metrics to senior staff. Address and resolve issues, escalating complex problems as needed. Point of contact for DMS-related problems, troubleshooting issues, and escalating as needed. Work with multiple departments to ensure documents are properly controlled and distributed. Assist in responding to document requests from clients, contractors, or regulatory bodies in a timely and efficient manner. Participate in team meetings or workshops, support creation of meeting agendas and production of meeting minutes. Take on more complex document control tasks or projects as assigned. Oversee document control process improvement and development of new procedures. Skills and Attributes
Possess excellent verbal and written communication skills. Possess excellent multi-tasking and organizational skills. Possess excellent collaboration skills. Minimum Qualifications
High school diploma, GED, or equivalent. 3+ years of experience as a Document Control Specialist on large, complex, public works infrastructure engineering programs. Strong proficiency with document management systems (DMS) and advanced version control. Understanding of industry regulations and standards (e.g., ISO). Preferred Qualifications
Bachelor's degree in related field. 8+ years of experience as a Document Control Specialist on large, complex, public works infrastructure engineering programs. Compensation Details
The salary range listed for these roles is $104k-$154k. The final salary offered is based on multiple factors and is thoughtfully aligned with each candidate's level of experience, breadth of skills, total education achieved, certifications/licenses that have been obtained, etc.
