Who You Are:: The Dikita Document Control Specialist reports to the Project Controls Manager and provides specialized management for the handling, logging, storage, and distribution of project deliverable drawings, documents, and contracts. The Document Control Specialist will also coordinate document reviews and approvals, and manage the collection, tracking, and storage of contractor submittals and vendor data documentation during design, construction, and close-out phases of construction projects. What You'll Do:: Develop Document Control file structure, and associated policies/procedures. Train users in proper utilization. Provide oversight of document controls activities on projects; ensure that quality of document deliverables and controls meet expected standards, specifications, and procedures. Utilize on-line file sharing software to store, organize, coordinate, and distribute project documentation. Manage drawing and document numbering and naming conventions. Manage physical storage in a manner consistent with an electronic system. Check drawings and documents for administrative compliance. Manage formal drawing and document distribution and review processes. Maintain logs and registers for architectural drawing and construction document deliverables and submittals. Create and manage document transmittals, both electronically and physically. Maintain web-based file storage and access approvals. Scan, image, organize and maintain documents/filing system, adhering to the company's document procedures. Able to retrieve documents quickly, including emails, paper documents and electronic files. Perform intermediate word processing, spreadsheet, and database assignments and assist project team members with document development. Prepare various project status reports. Ensure work is being performed within the guidelines of the clients policies and procedures. Other administrative functions as required. What You Bring::

An associate degree in business administration is preferred. 5+ years of experience in Document Control in the architectural/engineering/construction industry. Must have the ability to establish and maintain an efficient integrated document control system. Experience with, or the ability to quickly learn Smart Sheets is mandatory. Expert proficiency in Microsoft Office, Excel, MS Word, SharePoint, and Windows. Ability to quickly learn web-based file sharing and coordination software (ShareFile, Dropbox, etc.) Excellent prioritization and time management skills. Must be well organized and detailed oriented with the ability to multi-task. Must possess exceptional interpersonal skills, and the ability to work with colleagues who have diverse interpersonal styles; and interact with the client and team members with empathy and respect. Ability to troubleshoot and work in a fast-paced and deadline driven environment.
