Title: Administrative Assistant, Director for Veterinary Clinical Programs, College of Veterinary Medicine Department: Dean - Veterinary Medicine Campus: LIU Post Date Posted: Salary: Commensurate with experience FLSA: Exempt Starting Date: As soon as possible Contact: Please submit an online application Reporting to Director of Clinical Programs, College of Veterinary Medicine, the Administrative Assistant performs varied administrative work related to the needs of Clinical Programs in the College of Veterinary Medicine. Incumbents will have contact with college administrative officers requiring use of tact, discretion, attention to detail, and judgement. Principal Responsibilities Coordinate daily operations that support the College's mission Maintain student, faculty, clinical affiliate, course, program and other confidential files Maintain databases to gather data, compile statistics and generate reports Communicate office policies, procedures and practices to faculty, students, university personnel and clinical affiliates Interact effectively with a diverse student, faculty, staff, clinical affiliate population and resolve problems Provide information, as directed, to faculty, staff, students, clinical affiliates and the general public Assist with arrangements for special events (e.g. conferences, reservations of rooms, travel arrangements, catering services, informing the relevant departments/units, etc.) Assist in preparing and distributing materials to students and clinical affiliates Prepare systems requisitions/supplies, maintenance agreements, contracts and other university expenditure accounts Maintain clinical affiliate contract files and other documents Monitor budget and other fiscal records for the Clinical Programs office Prepare letters for Director's signature Maintain Director's calendar Prepare committee minutes and memos as needed Trouble shoot for faculty, staff, students and clinical affiliates as needed Other duties as assigned Qualifications: B.A. degree preferred; three to five years full-time relevant experience with increasing administrative responsibility; excellent organization and math skills, excellent interpersonal, oral and written communication skills; knowledge of office procedures and personnel administration. The incumbent must be proficient with computerized systems for word processing, spreadsheets, data management, email, internet searches, social media, and other applications. Knowledge of Microsoft Office (Word, Excel, PowerPoint) is essential, proficiency with E value software is preferred. LIU is an equal opportunity employer.
