Reporting to the Associate Dean for Academic Affairs, College of Veterinary Medicine, the Administrative Assistant performs varied administrative work related to the needs of Academic Affairs in the College of Veterinary Medicine. This Administrative Assistant will have daily contact with various stakeholders that include professional program students, faculty, and university administrators. The ideal candidate will demonstrate strengths in emotional intelligence, tact, discretion, attention to detail, and judgement.
Principal Responsibilities
* Coordinate daily operations that support the Academic Affairs department and the College's mission
* Serve as a primary point of contact for the college and provide information, as directed, to faculty, staff, students, and the general public
* Maintain student, course, program and other confidential files
* Maintain databases to gather data, compile statistics and generate reports
* Communicate college policies, procedures, and practices to faculty, students, university personnel, and external inquiries
* Interact effectively with diverse populations of students, faculty, and staff, including important vendors from outside the university environment
* Respond effectively to unexpected needs, including problem solving
* Assist with arrangements for special events (e.g. conferences, reservations of rooms, travel arrangements, catering services, informing the relevant departments/units, etc.)
* Assist in preparing and distributing materials to students, faculty, university support offices (e.g. registrar), and external organizations
* Prepare systems to manage requisitions/supplies, maintenance agreements, contracts and other university expenditure accounts
* Prepare letters for Associate Dean's signature
* Maintain Associate Dean's calendar
* Prepare committee minutes and memos as needed
* Trouble shoot for faculty, staff, and students as needed
* Other duties as assigned
Qualifications: B.A. degree preferred; three to five years full-time relevant experience with increasing administrative responsibility; excellent organization and math skills, excellent interpersonal, oral and written communication skills; knowledge of office procedures and personnel administration. The incumbent must be proficient with computerized systems for word processing, spreadsheets, data management, email, internet searches, social media, and other applications. Knowledge of Microsoft Office (Word, Excel, PowerPoint) is essential, proficiency with E value and Learning Management System software is preferred.
