Provides administrative support for multiple Directors of Development in a fast-paced environment utilizing independent thinking and solid judgement. The Administrative Assistant should possess strong customer service as well as organizational and interpersonal skills. The Administrative Assistant: Essential Functions (Responsibilities): Prepares expense and mileage reports as well as makes travel arrangements with corresponding travel itineraries for multiple collegiate Directors of Development. Coordinates and prepares gifts for donor visits, greets guests, answers phone and routes incoming calls as needed. Composes routine correspondence and executes multiple mailings to key individuals by generating mailing lists. Creates and maintains extensive queries in donor database, excel spreadsheets, marketing lists and merge documents in coordination of fundraising activities. Generates and distributes daily and weekly reports to each Director of Development, schedules campus site visits and assists with special events. Utilizes queries in Raiser's Edge software to extract analytic reports on donor and fundraising activities to be utilized by frontline fundraisers. Assists Advancement staff on donor communications including daily preparation of gift acknowledgement letters. Other duties as assigned. Required Qualifications Equivalent Education/Experience Specialized clerical training or at least two years of clerical experience Excellent organizational skills Knowledge/Skill/Ability Proficient using a PC with a variety of software packages including Microsoft Word, Excel Proficient with Blackbaud Raiser's Edge or similar CRM database. Demonstrated commitment to providing quality customer service. Ability to handle multiple tasks while meeting deadlines. Ability to maintain confidentiality Exceptional written, verbal and interpersonal communication skills with ability to communicate effectively at all levels of the company. Ability to work with little supervision. Demonstrated effectiveness in working with a variety of administrative levels and diverse groups of people. Knowledge of the importance of donor relations in university fundraising. Preferred Qualifications Preferred Associate's or Bachelor's Degree Previous experience in a university or non-profit setting Knowledge of Raiser's Edge Software. Physical Demands Must be able to lift 20 lbs and tolerate seated work at a desk for the majority of the day.
