The Administrative Assistant for Stewardship reports to the Director of Stewardship and will provide administrative support to the Stewardship team in the Office of University Advancement. Responsibilities include all administrative aspects of donor acknowledgements which will include running reports and manipulating data in Excel, merging, printing and mailing of high- level donor acknowledgement letters, and accurate updating of donor databases; regular updating of donor records to reflect giving society membership; all administrative aspects of major gift administration which will include preparing letters and packets for donors and maintaining accurate digital donor files across data bases. Additional responsibilities will include management of the Adobe Sign process, uploading stewardship event lists to Stova, management of the shared Stewardship mailbox and calendar including development and maintenance of a comprehensive Stewardship deliverables calendar; scheduling team meetings as well as preparing materials for each; reconciliation and submission of expense reports; and other administrative tasks as assigned. This position requires a high-level of attention to detail, critical thinking, a collaborative approach to problem-solving and the ability to multitask. Duties and Responsibilities: Responsible for managing the day-to-day acknowledgement process for Stewardship with a focus on data analysis, mail merge, preparing for signature and mailing donor acknowledgments for President's Club-level donors, the compilation of donor giving reports, and the review and clean-up of donor data in Excel. Support new and existing email acknowledgement initiatives. Assist in the evaluation of new technologies that enable the Stewardship team to elevate and report on donor acknowledgement and recognition. Update and review donor records to appropriately reflect donor recognition, stewardship outreach activities, and other activities. Coordinate with Gift and Pledge processing to ensure accuracy of database information and overall data integrity. Assist in the management of donor reporting processes, including compiling student data and letters, tracking overall progress of reports, and helping ensure that appropriate follow-up for report completion is completed, among other responsibilities. Provide support to other areas of development operations as determined by the AVP for Development and Director of Stewardship. Perform additional duties and assist with special projects as assigned. Minimum Qualifications: High School degree required. 3 years of experience in an operational role working in an academic or event planning environment. Must be highly proficient with Microsoft Office especially Word and Excel. Ability to use CRM software to assist with Stewardship or donor database activities. The individual must have proven ability to create spreadsheets and perform mail merge. Must have excellent interpersonal, organizational, planning, and prioritizing skills and be a team player. Must be flexible, upbeat, energetic self-starter who enjoys collaboration with a wide variety of constituencies. Must have the ability to work independently under general supervision with exceptional attention to detail. Must have a strong customer-service orientation and the ability to handle multiple projects in a fast-paced, multifaceted environment. Must have a proven ability to consistently maintain a high level of discretion and professionalism. Preferred Qualifications: Some college or Bachelor's degree preferred. Working knowledge of Banner and familiarity with Salesforce and Salesforce Marketing Cloud preferred. Experience with Banner and Salesforce preferred. Physical Requirements and/or Unusual Work Hours: Sitting; light lifting of packages, ability to walk or drive across campus. May be required to work some evenings and weekends for special events as needed.
