ABOUT TIMES2 ACADEMY:
TIMES2 Academy is a district-affiliated, K-12 public charter school in Providence, RI. POSITION OVERVIEW:
Under the direction of the Executive Director, the Director of Finance plays a key role in all aspects of the school’s business and finance operations. The Director of Finance is responsible for establishing and maintaining our financial policies, procedures, controls, and reporting systems. This position is integral in the development and management of the school’s operations and capital asset budgets. The position is also responsible for the administrative management of the school’s accounting and bookkeeping systems, payroll systems, billing and payment systems, coordination with outside auditors, state financial reporting requirements, human resource functions, and other duties as directed by the executive director.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Administrative:
Advises and reports to the Executive Director and, as appropriate, the TIMES2 Board of Directors on all matters related to the financial management and business affairs of the school.
Maintains oversight of the school’s Operations budget, Capital Asset budget. Prepares monthly financial projections and budget analyses for the Executive Director and Board of Directors.
Supervises and evaluates Business Office staff responsible for accounts payable and receivable, payroll and benefits, and other business office functions.
Implements standard operating procedures and financial controls including cash management and collections.
Maintains oversight of academic and program expenditure controls in coordination with Chief Academic Officer.
Maintains oversight of the school’s investment account and fund reserve performance.
Maintains oversight of all payroll and benefits systems. Including biweekly payroll entries into CSC Paymaster.
Secures all personnel records. Including updates to all employee salary, benefits, and disciplinary notices.
Directs and coordinates the school’s procurement procedures by preparing bid requests (RFP’s), posting RFP’s, evaluating bid proposals, and recommending awards to the Executive Director. Negotiates service contracts.
Fiscal management of facilities investments in coordination with the Director of Operations. Maintain depreciation schedules for all asset types.
Serves as liaison with outside Human Resources consultants to coordinate and perform HR functions as necessary.
Coordinates with the school’s auditors in preparing an annual independent financial management audit.
Accounting/Bookkeeping:
Maintain Providence School Dept. invoices with spreadsheet database and reconcile with corresponding General Ledger entries.
Responsible for all monthly Journal Entries.
Maintain all General Ledger accounting records in an orderly manner in both hard and soft copy.
Maintain Bank and Balance sheet account Reconciliations.
Make all deposits and take to the bank in a timely manner.
Enter all Cash Receipts into the accounting system.
Maintain Cash Receipts and Accounts Receivable records in an orderly fashion.
Support and assist Administrative Accounting Assistant with the correct GL coding for all invoices
Maintain external paid time off database and record sick, vacation and personal days.
Reconcile Payroll totals in the General Ledger to ADP Reports on a quarterly basis.
Maintain all payroll and TIAA-CREF spreadsheets and be sure that entries are made to the General Ledger.
Act as back up for payroll functions including processing payroll and maintaining employee records in CSC Paymaster system
Maintain Fixed Asset purchase, disposal and depreciation schedules, and maintains copies of all additions for the audit.
State of Rhode Island Coordination & Reporting:
Establish and maintain professional relationship with RIDE Office of Finance and Data Office officials.
Maintain general ledger accounts in accordance with state UCOA reporting systems.
Perform RIDE Utility run on a quarterly basis to ensure accuracy. Submit Corrections Reports, as necessary.
Responsible for ensuring that all financial reports are prepared and submitted to state officials in a timely manner. Including UCOA reports to RIDE and Budget and Audit Reports to the Office of Auditor General and Office of Municipal Affairs.
Providence Public Schools (PPSD) Coordination:
Establish and maintain professional relationship with PPSD Finance Office officials.
Ensure that quarterly local aid invoices with accompanied student rosters are submitted in a timely manner.
Reconcile quarterly PPSD payment requisitions to ensure accuracy and process for payments in a timely manner.
Supervisory:
Supervises and evaluates 2 employees in the school Business Office responsible for accounts payable and receivable control, payroll and benefits, and other business functions.
Responsible for interviewing, hiring, and training Business Office staff; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees.
REQUIRED SKILLS:
Strong financial, accounting, and analytical acumen.
Familiarity with Federal, State, and local financial reporting and accounting processes and procedures.
Knowledge of RIDE Uniform Chart of Accounts (UCOA).
The ability to consistently meet deadlines and complete tasks in a timely manner.
Must have a positive and collaborative attitude and supportive working relationship with staff and students.
QUALIFICATIONS:
Certified or certifiable as a School Business Administrator in Rhode Island
Bachelors Degree (BA) in Business Administration, Finance or Accounting. Master’s degree preferred.
