Summary The Graduate Admissions Counselor is responsible for developing and maintaining a positive relationship with graduate applicants (both domestic and international) at all levels and during all phases of the recruiting and application process. This position serves as the primary contact for all graduate inquiries and applicants and engages in comprehensive recruiting and conversion work. This individual is also responsible for working within the university environment to facilitate enrollment and effective working relations among schools/departments as assigned.

Essential Functions Work toward and achieve the college/school/program’s enrollment goals by participating in the recruitment activities that include:
Providing information to prospective students regarding graduate programs, admission requirements, and required documents.
Preparing presentations for prospective and accepted student audiences both small and large, as required.
Coordinating and participating in on-campus events for prospects, accepted students, and special interest groups, as required.
Traveling where designated to represent the University and supporting recruiting efforts. This includes individual college/university visits, college fairs, conferences, and off-campus events.
Conducting various mail, text, phone, and email recruiting campaigns to generate inquiries and applications.
Responding either by phone, text, email, and/or mail to all inquiries received.
Conducting information sessions and attending college fairs and other events.
Counseling prospective students to encourage campus visits and application submission.
Managing campus visits and scheduling of prospective students, including meeting with faculty.
Represent the Barry University brand and serve as a content expert for prospective students and others for the program for which the Graduate Admissions Counselor is responsible.
Executing additional tactics that support strategies established by the Deans and AVP to attract, recruit, and enroll qualified students in the program.
Assist the Senior Director in assessing prior recruitment travel results and developing subsequent recruitment travel.
Facilitate timely and appropriate information delivery to move students through the various stages from inquiry to applicants and support the conversion of applicants to accepted and enrolled students:
Determine the prospective students' preferred method of communication incorporating all media types to ensure the transmission of information is complete, succinct, and anticipatory in nature.
Create and conduct follow-up via phone, live chat, web, text, and other methods of communication with prospects and applicants.
Explain admission requirements for specific programs such as standardized test requirements, test waivers, essays, format for recommendation letters, transcript requirements, scholarships, discounts, and resources available to assist prospective students with the process.
Advise and guide prospective students, as appropriate, throughout the application and decision-making process providing high-level coaching as well as technical assistance throughout the relationship.
Promote prospect/applicant engagement with peers, faculty, and staff including department liaisons and academic advisors.
Develop and maintain expertise in describing the university’s financial aid opportunities and awarding policies and practices and ensure the highest level of service and accuracy.
Document all contact with applicants in Salesforce, the university’s customer relationship management (CRM) tool.
Report daily, weekly, and monthly activities utilizing CRM and Colleague systems.
Conduct regular assessments of interactions with prospective students and make recommendations for needed updates of information to improve the customer experience.
Maintain effective communications with the departments of Financial Aid, Graduate Admissions and with the various academic programs/schools as necessary to facilitate their efforts in the application and conversion process.
Assist with the onboarding and registration process by instructing students on the steps toward advising and registration, overriding admissions holds/restrictions as appropriate or explaining why hold restrictions cannot be overridden.
Facilitate daily business in conducting Graduate Admissions work by:
Maintaining a professional appearance at all times and conducting yourself in a professional manner while holding true to the core values of Barry University.
Demonstrating and possessing a strong understanding of cultural competency and how to communicate to different audiences.
Representing the University brand with the highest level of integrity.
Safeguarding the confidentiality of student, staff, and university information by exercising discretion in managing records and communication with faculty, staff, alumni, and prospective students.
Making recommendations for process improvements to improve workflow.
Evaluating the readiness of the applicant’s file upon receipt of each new credential to be sent to the Program Director for review and decision.
Collect, synthesize, and analyze data for the following purposes:
Prepare weekly/monthly reports on recruitment activities.
Utilize data to provide a monthly assessment of progress toward identified objectives and goals.
Provide support with monthly assessments of objectives and goals report.
Provide support to the Senior Director on recruitment strategy and take responsibility for executing the plan of action assessments.
Perform other job-related duties as assigned or required.
Qualifications/Requirements
A Bachelor's degree in any field is required.
3-5 years of relevant experience.
Intermediate experience with MS Outlook, Word, Excel, PowerPoint, Workday, and Colleague.
Must be able to articulate clearly.
Excellent interpersonal skills, cross-cultural communication skills, and a good listener.
Must have strong organizational skills and a track record for sustained measurement of program outcomes.
Must be able to work independently, and with and through others to achieve desired results.
