Our client is a dynamic and fast-paced financial services firm dedicated to delivering innovative solutions to our clients. They are seeking a highly organized and proactive Executive Assistant to provide high-level administrative support to a senior leader, ensuring the efficient operation of their daily activities. Key Responsibilities: Coordinate and manage a complex calendar, including scheduling internal and external meetings across multiple time zones. Act as a gatekeeper for all communications, prioritize incoming requests, draft correspondence, and facilitate timely responses. Plan and manage domestic and international travel arrangements, including itineraries, accommodations, and transportation. Prepare agendas, briefings, presentations, and detailed notes for meetings; track follow-up actions. Assist with special projects, research, and compiling reports as needed. Process expense reports, monitor budgets, and handle invoices. Maintain positive relationships with key stakeholders, clients, and internal teams on behalf of the senior leader. Handle sensitive and confidential information with discretion and professionalism. Qualifications: 3+ years of executive administrative experience, preferably in a financial or corporate environment. Bachelors degree or equivalent work experience is preferred. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools like Zoom, Teams, or Slack. Exceptional time management, prioritization, and multitasking abilities in a fast-paced environment. Strong written and verbal communication skills. Proactive, resourceful, and able to anticipate needs and solve problems independently. Demonstrated ability to maintain composure and handle high-pressure situations with grace.
