Position Type: Secretarial/Clerical/Secretary - Building Date Posted: 12/3/2024 Location: Godwin Heights - West Godwin Elementary Closing Date: Until Filled District: Godwin Heights A building secretary is the first ambassador of the school that the public encounters. The secretary must remain flexible, possess a positive attitude at all times, and maintain confidentiality regarding staff, students, and parents. The position is School Year (up to 210 work days) plus vacation and holidays. Location: West Godwin Elementary Pay Rate: $18.77 per hour. ESSENTIAL JOB FUNCTIONS: Answer and direct office telephone calls or messages. Greet parents, visitors, and students to the office. Must enjoy working with children. Maintain principal/school calendar. Maintain building schedules - para-professionals, intervention specialists, classroom teachers, etc. Monitor daily, semester, and yearly attendance records. Send out attendance notification letters. Monitor student attendance and inform the principal of parents needing follow-up. Monitor daily attendance of all staff, the arrival of substitutes, and notify the principal of problems. Maintain and update CA 60s, including immunization reporting. Assist principal with student placements. Monitor the office: sorting of mail, required manuals, building keys, personnel database, staff/student birthday list, notes home to students, daily announcements, field trip coordination, end-of-day messages, emergency procedures (fire, safety, and tornado procedures, etc.), school picture day, yearbook, weekly bulletin, building newsletter, website, etc. Assist in the dispensing of medication (such as oral medication, testing blood for diabetes children, use of Epi-pens and any other health-related requirement) and first aid Keep the principal informed of building issues. Type correspondence for building principal. Maintain confidentiality of classified information. Prepare materials for parent-teacher conferences. Report to work/maintain good attendance. End-of-the-year check-out procedures with teachers. Collection of all pertinent record-keeping items (student attendance materials, record books, etc.) Prepare various reports such as Pupil Accounting and Attendance, Weekly School Communicable Disease reports, Immunization reports, etc. Preparation of newsletters. Verify all student absences throughout State Count Day and call parents. Performs allied or related duties as assigned by the principal. KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of general office practices and procedures. Knowledge of written communication formats business English and composition. Extensive knowledge of Google Apps. Skill in operating and maintaining personal computers. Skill in troubleshooting computer problems. Skill in operating office equipment such as calculators, copy/fax/scan machines, telephone systems, etc. Ability to maintain confidentiality of classified information. Ability to communicate with employees, students, and parents in a courteous professional manner. Ability to share office responsibilities. Willingness to attend training to update skills. EDUCATION AND EXPERIENCE/QUALIFICATIONS: Associates Degree Preferred High School Graduate (Minimum) 3 years of recent applicable experience is preferred. Successful reference and employment checks. Professional appearance Ability and flexibility to deal well with students, staff, parents, and the public. Bilingual (Desired) Physical Demands: While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust/focus . Work Environment: The noise level in the work environment is usually loud to moderate. Work is performed indoors although there will be required outdoor activities. The employee is directly responsible for the safety, well-being, and work output of students. Mental Functions: While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing in the English language, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, and compile and negotiate.
