Document Control Specialist is responsible for managing and overseeing the document control processes and systems for the company. This position requires a high level of accuracy, attention to detail, organization, and ability to work under pressure to meet deadlines. The Document Control Specialist ensures all documents are properly routed, stored, managed and accessible to authorized personnel. This may include maintaining document control databases, ensuring compliance and regulatory requirements and being the main support for audits. This role also includes regulatory affairs to help the organization meet all international and industrial regulations that may apply to product lines.
The Document Control Specialist will also work in close coordination with the Engineering team to ensure revisions, design adjustments and release processes are executed to a high level of detail. Collaborating with a global engineering team, while being responsible for creating drawings and associated production documents for product lines. Responsible for updating legacy documentation to newer standards and identifying changes, notifying production and Supply Chain ensuring correct versions are being adhered to. Key Responsibilities
Responsible for managing and maintaining document control systems and database ensuring updates occur and other departments adhere to changes. Ensuring documentation is stored and easily accessible. And maintaining document version control, ensuring documents are accurate and complete. Collaborating with Quality Control, Engineering and other departments by providing support during internal and external audits, ensuring compliance with regulatory requirements and establishing company standards. Accountable for training staff in document control procedures and systems Accountable for monitoring and tracking document control activities and status including document review and approval processes and reviewing documents for completeness. Accountable for coordinating distribution of documents and retrieval of old documents and processes to establish consistency Collaborate with departments for the development of document templates and forms Collaborate with I.T. to resolve document control system issues as they arise Responsible for maintaining understanding of new and existing regulations that may impact on the company, its products and processes Responsible for standardizing all CE and design history file folders and establishing clear, document protocols Responsible for explaining regulations, procedures, and policies to employees and stakeholders as well as reviewing marketing, legal and technical documentation to assess and coordinate completion. This may include recommendations with solutions to help the company achieve levels of compliance. Responsible for maintaining data and spearheading audits from regulatory agencies and preparing for audits. Act as a liaison between the company and international agencies, submitting required forms and paperwork Collaborate with Product Development during various stages of product development processes to ensure compliance at each milestone, from development through manufacturing, marketing and final approval. Accountable for creating, editing, improving, and modifying engineering drawings, part files, assemblies and technical manuals Accountable for aligning part numbers and components within NetSuite CRM system, managing revisions and associated product details. Responsible for development and enforcement of PDM workflows, standards and best practices Other duties as assigned. KPI Reporting Responsibilities Assigned by Director of Quality and Director of Engineering Job Qualifications, Skills, and Abilities Associate or bachelor's degree in business administration or information management or related field preferred, or equivalent work experience 3+ years of experience in document control or records management 2+ years audit processes and compliance experience preferred 2+ years technical writing experience and solid grasp of grammar and able to communicate clearly in English preferred Proficiency in document management software and systems, QT-9 preferred Knowledge of regulatory requirements and standards, including CE regulations preferred Proficiency in Microsoft Office Suite Advanced skills in SolidWorks, SolidWorks PDM and document revision control through using Vaults preferred. Experience and understanding of dimensions, tolerance callouts, and related technical inspection criteria for machined and molded metal and plastic parts Expert ability to work effectively in a cross-functional, global team environment preferred. Travel expectations 20-30% Physical Activities may include long durations sitting at a computer that may emulate blue light. Standing, stooping, bending may be required. Standing and walking in tightly confined production spaces. Able to lift 20-50 lbs. May be subject to areas that contain dust and particulate matter.
