The position you are applying for is an Hourly/Wage position. Hourly (wage) employees may not work more than an average of 29 hours a week and cannot exceed 1500 hours the wage employment year (5/1 - 4/30). This position does not include health insurance, retirement or paid leave benefits.

The Virginia Department of Transportation (VDOT) is excited to announce an opportunity to serve as a Business CoordinatorWage in our Human Resources Division. This position will coordinate a variety of business functions for Human Resources, provide guidance to administrative or business staff, provide administrative support services and ensure activities are prioritized based on organizational need. Also, this position will track projects and develop reports for Human Resources. This position is located in Richmond, Virginia.

This position's specific responsibilities and duties will include, but are not limited to:

Budgeting Assist in developing assigned budget. Supply projected costs, monitor expenditures, and prepare financial status reports.

Contract Administration Process, verify and track assigned contracts. Analyze contract documents. Ensure change orders are processed appropriately. Serve as first point of contact with vendors to resolve routine contract administration problems.

Business and Administrative Support Provide administrative support services to assigned program area.

Special Assignments Assume responsibility for special projects and assignments.

Accounting Ensure payments for goods and services are processed in compliance with policies and procedures. Maintain accounting records and files. Analyze financial transactions, verify payment documents, and perform data reconciliations.

Reporting Research and compile data and prepare reports or presentations for a variety of programs or projects.

Procurement Prepare requisitions and purchase orders for goods and services in compliance with established policies and procedures. Procure items from state contract and resolve billing discrepancies. Review procurement records to ensure financial activities comply with state and VDOT requirements.

Records Management Organize and maintain records for assigned program area per established retention schedules and policies.

Minimum Qualifications

Knowledge of Financial management and budgeting computer programs.

Skill in collecting and analyzing data and preparing reports or presentations

Knowledge of budget development and monitoring.

Ability to interpret laws, regulations, policies, and procedures.

Skill in Word, Excel, and Access.

Knowledge of Generally Accepted Accounting Principles (GAAP), accounting policies, practices, and procedures.

Additional Considerations

Experience using the Commonwealth's Cardinal system.

A combination of training, experience, or education in Business, Accounting, or related field desired.

Experience in handling reception duties, coordinating administrative tasks, and serving as the first point of contact to ensure efficient office operations and positive visitor experiences. Special Instructions

VDOT is an emergency operation agency. Positions physically working within Central Office locations may be designated upon request and coordination among the respective District Engineer or Administrator and Chief. Assignments are updated annually. Not all designated employees are provided an emergency operations assignment.

Once onboarded, this position may be eligible for telework opportunities; availability, hours, and duration of telework shall be approved as outlined in the Commonwealth telework policy.
