Human Resources Coordinator
to work at our Downtown LA Headquarters office. Under the general supervision of the Sr. Director, Human Resources, the HR Coordinator provides support in the operational areas of the Human Resources Department. The position provides coordinated clerical and administrative support to our staff, volunteers, and the Human Resources department. This position functions as a lead administrative organizer, supporting and helping coordinate the efforts within Human Resources, and contributing to process improvement efforts throughout. Our Ideal Candidate will have the following qualifications:
High School Diploma or equivalent required. Bachelor’s degree preferred. Relevant human resources certifications preferred. At least two (2) to three (3) years’ work experience in an administrative environment. 1+ years’ experience in a human resources department or related experience and/or training, or equivalent combination of education and experience. Bilingual English/Spanish skills desirable. Must demonstrate the ability to exercise good judgment and maintain confidentiality at all times. Strong critical thinking / problem-solving capabilities. Must demonstrate the ability to work independently. Demonstrated integrity, professional conduct and ability to collaborate with team members. Must possess a personable and respectful manner at all times. Must have excellent oral and written communication skills. Must demonstrate the ability to relate to and communicate with diverse communities. Must demonstrate a professional appearance and attitude at all times. Knowledge of commonly used Human Resources concepts, practices, and procedures. Knowledge of or ability to use means to monitor and track processes as a part of coordinated process improvement efforts. Proficiency in MS Word, Excel, Outlook & PowerPoint. Strong organizational skills and superior attention to detail. Availability to work flexible hours, including weekends and evenings as required. Ability and willingness to travel within Los Angeles County. Reliable means of transportation for onsite and off-site work. If using a personal vehicle to drive for work purposes, a valid CA driver license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required. About the Position:
Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors. Plan, conduct, and evaluate the new hire employee orientation program to fully comply with Agency goals and policies. Plan and coordinate the schedule and logistics for the department’s internal training workshops/sessions. Maintain attendance records and program evaluations. Assist HR leadership in HR staff trainings. Process unemployment claims from Employment Development Department (EDD) and handle required documentation and follow-up. Provide timely notification to HR leadership regarding any scheduled hearings. Process employment verification inquiries in partnership with the Payroll Department for requests authorizing release of payroll records. Create and maintain departmental filing systems and ensure timely and accurate filing of paperwork. Create and maintain employee files for current and former employees in accordance with regulatory requirements, ensuring timely and accurate filing of all personnel-related forms & documentation. Input and maintain accurate and current employee personnel data in electronic personnel record-keeping and report system, HRIS (Human Resources Information System) including but not limited to I-9 re-certifications, BLS/ACLS renewal and TB tracking. Produce reports related to personnel data. Maintain tracking and reports related to internal department quality control. Support Human Resources through the audit process by maintaining up to date and complete personnel files, and accessing those files as needed (on-site and off-site file maintenance). Support Recruitment as needed by compiling onboarding documents, confirming incoming new hires with collaborating teams, and submitting new account set-up with IT (ASARs). Facilitate language assessments and maintain updated report(s) of results. Organize and maintain Human Resources electronic resources, including organization of files on PPLA’s departmental drive and shared internal drive; ensure electronic files are organized to be user-friendly for staff. Open and distribute mail on a daily basis. Date/time stamp all incoming mail. Provide word processing, data entry and clerical assistance using Microsoft Word, Excel, PowerPoint, Outlook and various data management programs. Ensure appropriate reorder and distribution of Human Resources materials (e.g., PPLA Handbook, etc.). Revise, organize, stock and maintain HR-related forms and packets including but not limited to New Employee packets, Benefit Guides, State Pamphlets & Posters, etc. Maintain office operations, including ordering office supplies and reconciling HR leadership’s credit cards. Lead PPLA staff recognition programs, including employee awards, employee recognition events, giveaways, anniversary recognition cards, etc. Remain current on all applicable employment laws, regulatory compliance and standards of practice in each functional area of responsibility.
