Job Title: Executive Assistant

Location: Voorhees, NJ

Schedule: Hybrid, Monday – Friday, 8:00 AM – 4:30 PM

Pay: $35/hour

Company Overview:

A leading organization in the manufacturing industry is seeking an experienced Executive Assistant to provide high-level administrative support to the CEO and five other C-suite executives. This role requires exceptional organizational skills, discretion, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO and five C-suite executives, ensuring their schedules and daily operations run smoothly and efficiently.
  • Manage complex executive calendars, schedule meetings, prioritize appointments, and coordinate with internal and external stakeholders to avoid conflicts.
  • Plan and organize domestic and international travel arrangements, including flights, accommodations, itineraries, and transportation.
  • Act as the primary point of contact for executives, managing incoming and outgoing communications, drafting responses, and handling sensitive or confidential information with discretion.
  • Prepare agendas, materials, and presentations for meetings; attend meetings and follow up on action items.
  • Draft, proofread, and format correspondence, reports, and presentations; maintain organized and accessible filing systems for easy retrieval of records.
  • Process and reconcile expense reports for executives, ensuring accuracy and adherence to company policies.
  • Assist in managing special projects or initiatives led by the executive team, including tracking progress, deadlines, and deliverables.
  • Coordinate with other departments to ensure the executive team has the resources they need; order office supplies and manage administrative logistics.
  • Handle last-minute changes, urgent tasks, and high-priority situations with calmness, professionalism, and efficiency.

Qualifications:

  • High school diploma required; Bachelor’s degree in Business Administration or a related field preferred.
  • At least four years of experience in executive support role, preferably in the manufacturing industry.
  • Exceptional verbal and written communication skills.
  • Strong organizational and time management abilities with a proven track record of meeting deadlines.
  • Proficiency in Microsoft Office Suite or similar software; ability to adapt to new systems.
  • Familiarity with office administration and record-keeping procedures.
  • Ability to manage tasks in a hybrid schedule with a balance of remote and on-site responsibilities.
