Conference/Events Planner
The Advanced Research Projects Agency for Health (ARPA-H) is a research funding agency that supports transformative biomedical and health breakthroughs to provide health solutions for all. Please note: Prior experience in supporting ARPA, DARPA or related Federal agencies (IARPA, ARPA-E, HSARPA, NIH, CDC, FDA or USDA) organization is required. Conference/Events Planners will provide Front Office support to an ARPA-H Mission Office, regularly interacting with Government leadership - the Office Director, Deputy Director, Assistant Director for Program Management (ADPM), Program Analyst (PA), and technical Program Managers (PMs) - providing event planning coordination related to technology development programs. Responsibilities:
Assisting in the preparation and execution of successful ARPA-H and/or office meetings, events, and/or challenges; coordinating with applicable event stakeholders, internal and external to ARPA-H. Coordinating and supporting events that may include, but not be limited to, ARPA-H-sponsored technical conferences, strategic off-site events, executive meetings, technology demonstrations, "All Hands" events, ad hoc special projects, studies, assessments, and showcase events - both on-site and off-site. Providing event support to include research, scheduling, marketing, mailings, badging, conference materials, coordinating food services, provision for audio visual services/equipment, and security services/coordination. Locating and securing event spaces and/or conference facilities (in Washington, DC area and in various sites throughout the United States) and coordination of conferences with other groups and individual participants. Coordinating transportation and/or lodging for Government personnel for remote events, as needed. Requirements:
Bachelor's degree in any field - substantial relevant occupational experience (~8 or more years) may be considered in lieu of degree requirement. At least three (3) years of experience with large event and special event planning support and execution, to include but not limited to technical conferences, strategic off-site events, executive meetings, technology demonstrations and showcase events. The demonstrated professionalism, maturity, sound judgement, and excellent communication and interpersonal skills necessary for daily interactions with executive-level audiences in a dynamic, high-visibility Front Office environment. Ability to work independently or in a team setting as circumstances dictate.
