Backed by top-tier VC's and industry leaders, this mission-driven startup connecting patients with registered healthcare providers is looking for an Executive Assistant & Office Manager to support their Co-Founders and team. This is an exciting opportunity to join a fast-growing team of 65 that plans to double next year! You'll be at the center of the organization by acting as an administrative partner to the Executive Team and overseeing the day-to-day office operations. Someone who thrives in a dynamic, fast-paced environment, demonstrates exceptional organizational skills, and is a proactive problem-solver. Responsibilities:
- Efficiently manage the Executive Team's calendars, prioritizing external meeting coordination and logistics for in-person engagements.
- Arrange and oversee travel logistics, including booking accommodations and transportation.
- Facilitate recruitment efforts by scheduling interviews and maintaining professional communication with candidates.
- Supervise daily office operations, encompassing facilities management, vendor relations, workspace organization, and supply inventory.
- Act as the primary liaison for workplace needs, addressing and resolving issues promptly.
- Monitor and manage the workplace budget to ensure effective resource allocation.
- Plan and execute team events, celebrations, and culture-building activities to enhance engagement and strengthen team collaboration.
- Oversee food programs, ensuring the availability of snacks, lunches, and kitchen supplies to maintain a productive work environment.
- Provide personal support to the CEO, including managing travel arrangements, making reservations, and handling online orders.
Qualifications:
- 3+ years of experience as an Executive Assistant, preferably in a fast-paced, high-growth setting.
- Experience supporting multiple executives and/or managing office operations is a plus.
- Strong skills in logistics, scheduling, and task prioritization to enable executives to focus on high-impact work.
- Excellent communication, emotional intelligence (EQ), and proactive problem-solving abilities.
- Discretion in handling sensitive and confidential information.
- Proven experience as a culture carrier, fostering a positive and collaborative office environment.
- Familiarity with project and task management tools, with a solutions-oriented mindset to improve efficiency and solve challenges.
