We are in search of an Administrative Assistant to join our clients team in a permanent capacity. This position is located on-site in Queens, New York. The role involves performing a variety of administrative tasks, providing support to our staff, assisting in daily office needs, and managing our company’s general administrative activities. We are seeking a candidate with strong foundational experience who is excited to take on new tasks and grow with our clients company.


Responsibilities:


• Efficiently handle incoming calls, messages, and direct them to the appropriate staff members while maintaining a neat and organized reception area.

• Provide comprehensive administrative support across different departments, which includes document preparation, data entry tasks, and filing duties.

• Manage office supplies, monitor inventory levels and place orders as required.

• Handle basic tasks related to bookkeeping and invoicing as and when needed.

• Be responsible for managing executive and staff calendars, scheduling meetings, and appointments.

• Coordinate travel arrangements and accommodations for the team members when required.

• Oversee in-house messenger services and dispatch as necessary.

• Prepare outgoing mail and packages in a timely manner.

• Ensure the office environment is well-maintained and fully operational, including the upkeep of office equipment and supplies.

• Perform other duties as assigned, contributing to the smooth functioning of the office.

  • A minimum experience of one year working in an administrative, operations or reception capacity.
  • Excellent technology skills to include Excel.
  • Strong communication skills, and the ability to interact with multiple team members daily.
  • A desire to maintain an efficient and organized office.
  • The desire to grow or take on accounting tasks aside from core administrative responsibilities is strongly preferred.
