Job Description
Summary of Responsibilities:
Provide administrative support and assist the management team and staff in carrying out the organization mission in the day-to-day operation of the business.
Specific Duties:
1. Open and close office at the established time for normal hours of operation.
2. Answer telephone and forward calls to appropriate person.
3. Respond to inquirers request for general information about business services.
4. Receive mail and forward to appropriate person.
5. Carry out general administrative duties: typing, faxing, copying, filing.
6. Handle general correspondence, type or email recipient as appropriate. Get approval on all correspondence requiring executive management signatures.
7. Follow procedures for organizing, copying and filing information including adherence to
protocols for securing medical records.
8. Assist with ordering & keeping inventory of office supplies, materials and consumer care
equipment as needed.
9. Assist management with collecting, monitoring and tracking statistical data and other required information for quality assurance, performance improvement activities, state inspection surveys and annual program evaluation.
10. Promptly inform management of any situation that compromise the safety and security of the office such as water leaks, no heat, hot water. plumbing problems et al.
11. Provide relief coverage for other administrative staff for breaks and lunch.
12. Provide ongoing administrative support to executive management
13. Schedule for the clinical team (Psychiatrist, NP-Psych, RN, Therapist, etc.) by creating schedules for consumers and providing appointment reminders to consumers prior to their appointments with the clinical team.
14. Perform other duties as requested
15. Provide administrative support to the Human Resources Department.
16. Maintain all human resources related electronic and paper files.
17. Manage the recruitment process (i.e., advertising positions, reference checks, offer packages, etc.).
Qualification, Education, and Experience:
1. High school graduate with some experience required. Some college preferred
2. Computer literate, experience with excel, word, and PowerPoint
3. 1-year experience as HR assistant, secretary, administrative assistant or clerk doing general office work
4. Must possess good verbal and writing communication, skills
5. Ability to deal with diverse, multi-cultural consumer population
6. Comfortable working in a home health community-based service environment
7. Medical clearance of "good health" & free from communicable illnesses
8. Criminal background check with no felony conviction
9. Have excellent communication skills, a friendly demeanor, and enjoy working in a fast-paced environment.
10. Provide front desk services as needed.
Physical Demands:
Job requires walking, standing, reaching, bending climbing stairs, moving of school supplies and equipment, lifting packages contain school supplies, books and other materials, sitting at desk for extended period.
