What you'll do
We are looking for a dynamic and hardworking Executive Assistant (EA) to join our team, providing direct support to our Chief Legal Officer (CLO). As EA to the CLO, you will play a pivotal role, not only in keeping the organization running smoothly and efficiently, but inspiring morale and team building. Our ideal candidate has executive presence, great judgment, is highly detailed and proactive. This person will play an important role as the primary liaison between our board of directors and our executive team.
The EA to the CLO will also be a resource to the broader legal team, responsible for a wide range of tasks from assisting with Town Hall meetings, managing both internal and external requests of our CLO, and supporting virtual and onsite team events. The successful candidate will be proactive, very organized, personable and thrive in a fast-paced and exciting environment. This position requires constant communication and high levels of mutual engagement.
This position is an individual contributor role reporting to the Chief Legal Officer.
Responsibilities
- Serve as a first point of contact for the CLO
- Develop and maintain systems to prioritize the CLO’s time and activities
- Anticipate and independently resolve internal and external scheduling conflicts
- Manage a complex calendar that includes scheduling meetings and travel, conferences, speeches, presentations (off-site and/or internal), and group events
- Make comprehensive and end to end travel arrangements and process expense reports
- Act as a creative problem solver, liaison, and facilitator in managing support responsibilities
- Act as a lead on the facilitation and coordination of communications and administrative procedures across the Legal team
- Draft, review, and edit correspondence, reports, and executive-level presentations with a high level of accuracy and attention to detail
- Provide administrative support on an ad hoc basis to VPs on the Legal team
- Collaborate with EAs to the leadership team and provide backup support as needed
- Manage board of director’s meeting calendar 3 years in advance
- Compile and handle all meeting materials for quarterly Board of Directors and Board committee meetings
- Establish and maintain effective and cooperative professional business relationships with Board members and their assistants, all levels of management, employees, and other professional contacts, such as outside counsel, customers, public officials, and partners
- Act as liaison to the Board of Directors and communicate with the Directors and their assistants to schedule meetings
- Help with logistics for in-person Board and Committee meetings (e.g., IT set-up, catering, track attendance, guest presenters, Board dinners)
- Complete Director travel and expense reimbursements, coordinate director retainer payments, and provide related administrative support for board members
What you bring
Basic
- Bachelor's degree
- 5+ years of relevant professional experience supporting a C-level executive in a fast-paced and demanding corporate environment, preferably with a public technology or SaaS company
- Experience working with a Board of Directors, preferably at a public company
- Experience in working with highly confidential information
Preferred
- Demonstrated professionalism and discretion
- Comfortable with ambiguity and capable of making appropriate decisions independently
- Can-do attitude, proactive and solution oriented, consistently looks for ways to add new value and assist the team
- Demonstrated ability to respond to needs quickly and efficiently and prioritize work with a strong attention to detail
- Self-starter who is able to work with little or no supervision, anticipates needs of leaders
- Ability to effectively communicate and collaborate with a diverse range of people and job functions, including at the senior executive and director level
- Excellent judgment in setting priorities and interacting with internal and external contacts
- Ability to work well under pressure and respond to tight deadlines
- Excellent interpersonal, verbal, and written communication skills
- Strong focus on customer service, team player mentality and ability to work collaboratively with others
- Fully proficient on modern productivity software, such as Google Docs, Sheets and Slides
- Prior experience using Board portal software, such as Diligent or BoardVantage
