Position: Executive Assistant to Portfolio Manager
Location: Midtown NYC (Hybrid Schedule 4:1)
Hours: 8:00am - 6:00pm with flexibility/connectivity to support outside of the hours as needed
Salary: $140-165K* DOE with Benefits + Bonus Eligibility
Our client, a long/short investment fund, is seeking a dedicated and reliable Executive/Personal Assistant to provide comprehensive administrative support to a Portfolio Manager and member of their Executive Committee. This individual must have unquestionable integrity and be an effective collaborator with the ability to exercise good judgment in complex situations. Attention to detail and problem-solving skills, as well as excellent written and verbal communication skills, are essential. A successful candidate will have the ability to think outside of the box to drive outcomes, work well under pressure, and have the confidence to make informed decisions independently. Responsibilities of the Executive/Personal Assistant:
-Represent the Portfolio Manager in all professional and personal matters with integrity and professionalism
-Provide personal assistance
-Proactively manage a high volume of complex calendaring with urgency and discretion and maintain earnings calendar
-Communicate with corporate management teams, brokers, and expert network providers to coordinate corporate access, sell-side analyst interactions, and industry expert events
-Manage sensitive matters with a high level of confidentiality
-Ensure that Portfolio Manager is appropriately prepared for meetings
-Collaborate effectively and form strong partnerships with the Administrative Team and across the Firm
-Coordinate travel arrangements, compile necessary travel documentation and anticipate all travel needs
-Cover phones and provide back-up support for the Administrative Team
-Track and manage expenses and submit monthly Concur reports
-Complete ad hoc projects
Requirements of the Executive/Personal Assistant:
-Bachelor’s degree is strongly preferred
-Demonstrated ability to meet deadlines and experience thriving in a fast-paced environment
-At least 8 years of full-time assistant experience in a professional office environment; financial services experience preferred
Proficiency in Microsoft Office
-Verification of identity, education, prior employment, and references may be required
