CBIZ is assisting our client in their search for an Executive Assistant based in their Great Neck, NY location. We are seeking a highly organized and detail-oriented Executive Assistant to support the executive team within the healthcare sector. The ideal candidate will possess strong communication skills, exceptional time management abilities, and a proactive approach to problem-solving. This role requires discretion and professionalism in handling sensitive information.

Key Responsibilities

  • Administrative Support
    • Manage executive schedules, appointments, and travel arrangements.
    • Prepare meeting agendas, take minutes, and follow up on action items.
    • Draft, edit, and proofread correspondence, memos, policies and reports.
  • Communication Liaison
    • Serve as the primary point of contact between executives and internal/external stakeholders.
    • Handle incoming and outgoing communications efficiently and professionally.
  • Project Coordination
    • Assist in the planning and execution of special projects and initiatives.
    • Monitor progress and ensure timely completion of assigned tasks.
  • Data Management
    • Organize and maintain confidential files and records.
    • Utilize healthcare software and systems for data entry and retrieval.
  • Office Operations
    • Coordinate office services and supplies to ensure operational efficiency.
    • Oversee event planning and logistics for meetings and conferences.
  • Financial Administration
    • Manage expense reports and budgeting activities.
    • Assist with invoicing and financial tracking as needed.

Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred.
  • Proven experience as an Executive Assistant or similar role, preferably in healthcare.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and work under pressure.
  • A strong adherence to discretion and confidentiality.
  • Ability to work evenings and weekends as needed.
  • Experience as a self-starter and ability to work autonomously.
