Executive Assistant

Bellevue, WA

FTE - Direct hiring

Responsibilities:
  • Proactively manage complex calendars and travel using MS Outlook.
  • Manage team meetings (scheduling, attendee management, agenda creation, note-taking)
  • Plan and execute events for a global team (off-sites, all-hands, team events, org-wide events, celebrations, etc.)
  • Create expense reports and manage event budgets.
  • Support execution of contracts and payments with external vendors as needed.
  • Collaborate with other Executive Assistants, Program Managers, Recruiting Managers, Finance Partners, and HR Partners on team deliverables.
  • Some project management - Track deadlines, action items and key deliverables for leadership team
  • Communication (draft internal communications and announcements, edit documents for accuracy and clarity, create or edit presentations, send internal and external email communications)
  • Create and maintain organizational charts

Basic Requirements:
  • At least 2+ years of Executive Assistant experience
  • Expertise with complex executive calendar management using Outlook
  • Expertise with travel management and travel arrangements
  • Experience with event planning
  • Show discretion in handling confidential information and comfortable interacting with senior Executives
  • Outstanding organizational skills, strong attention to detail, and a proven ability to prioritize multiple requests and meet tight deadlines
