We’re looking for a professional, proactive, organized Executive Assistant to play an important role in our growing team. You’ll be responsible for assisting our CEO with administrative duties such as managing projects, coordinating events, answering phone calls, assisting in event planning and playing a key role in our success and growth in commercial real estate. 


Our Executive Assistant (EA) serves multiple functions within the firm, often performing them across multiple departments. The EA will perform a wide range of administrative and office support activities and assist the CEO in facilitating the efficient operation of the organization. The ideal candidate is both approachable and respectful and is comfortable with new technologies. Candidates must have strong writing and conversational skills. We embrace a culture of ownership and accountability and the EA should be comfortable taking the initiative when faced with administrative decisions and working independently.


This position works "in office" Monday thru Friday and is not suited to be performed virtually or as WFH.


Primary Responsibilities

  • Provide administrative assistance, such as writing and editing e-mails, drafting documents, preparing communications, and conducting research.
  • Maintain comprehensive and accurate records and oversee compliance requirements.
  • Manage executive calendars, including making appointments and prioritizing sensitive matters.
  • Act as the point of contact among executives, employees, clients and other external partners.
  • Create reports, presentations, memo/communications for both internal and external audiences.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Manage, coordinate and book travel. 
  • Organize company-wide activities and events.
  • Answer phone calls in a polite and professional manner while screening and directing them to the appropriate party. 
  • Provide support duties directly related to real estate transactions including invoicing, document preparation and research.
  • Take minutes during meetings as needed.


Qualifications & Required Skills

  • Bachelor's degree or equivalent experience.
  • Experience providing support to executive level staff is preferred.
  • Proficiency in Microsoft Office Suite, particularly MS Excel and PowerPoint.
  • Self-motivated, positive, and enthusiastic
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Strong written and verbal communication skills.
  • Excellent follow-up and follow-through skills.
