The Executive Assistant (EA) plays a pivotal role in providing high-level support for the CEO and other designated executives. Core responsibilities include the coordination of complex calendars and schedules, preparing high-quality presentations, attending key meetings, taking detailed minutes, processing expense reports, and ensuring the smooth implementation of administrative policies. Acting as a facilitator, communicator, and problem solver the EA ensures that focus remains on strategic priorities. This role requires a high degree of discretion, superior organizational skills, attention to detail, and proactive thinking to anticipate and address needs effectively.
  • Executive support of calendars, daily tasks, queries and activities
  • Plan and organize meetings/events including agendas, travel, minutes & action items
  • Maintain and track goals, procedures, policies, and initiatives
  • Other projects and administrative tasks as assigned
  • Effectively manage tasks and priorities for multiple executives
  • Proactively anticipate needs and identify ways to improve efficiencies
  • Organizational ability to manage inquiries and information quickly and effectively
  • Build and maintain strong relationships at all levels inside the company and with customers
  • Attention to detail to ensure accuracy and quality in all tasks
  • Problem solving ability to address issues, find solutions and make decisions
  • Professional written and verbal communication skills
  • Ability to remain calm under pressure and adjust to changing priorities

Requirements

Associate or bachelor's degree from an accredited university is preferred
  • 3-5 years of experience as an executive or administrative assistant, directly supporting senior management; C-level experience preferred
  • Experience working in manufacturing or engineering environment preferred
  • Strong multitasking skills to manage competing priorities and tight deadlines
  • Proficiency in multiple calendar management, scheduling meetings, and coordinating logistics
  • Ability to translate ideas into actionable plans and ensure successful implementation
  • Proven ability handling confidential information, adhering to policies and maintaining confidentiality
  • Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams, SharePoint)
  • Concur Travel & Expense experienced preferred
