This position will provide comprehensive support to three key executives: the CFO, VP of Business Services, and VP of Operational Excellence. This role is integral in managing the executives' calendars, coordinating travel, preparing expense reports, and assisting in various administrative tasks to ensure smooth day-to-day operations. The successful candidate will work closely with the EA to the CEO and will play an essential role within the executive team.

- Manage calendars and scheduling for the CFO, VP of Business Services, and VP of Operational Excellence.
- Coordinate and organize meetings, both virtual and in-person, ensuring alignment with the executives' priorities and availability.
- Prepare and manage travel itineraries, including booking flights, accommodations, transportation, and ensuring all logistical aspects are handled smoothly.
- Prepare, track, and submit travel and expense reports for each executive, ensuring accuracy and timeliness.
- Handle sensitive information with the utmost confidentiality and professionalism.
- Schedule and prioritize meetings, ensuring that time is allocated effectively across all three executives.
- Coordinate cross-functional meetings and events, acting as a liaison between internal and external stakeholders.
- Ensure all necessary materials (agendas, presentations, reports) are prepared and available for meetings.
- Follow up on action items and ensure timely completion of critical tasks.
- Book and coordinate domestic travel, ensuring cost-effectiveness and time efficiency.
- Prepare travel itineraries, itineraries, and necessary documents for each trip.
- Track and manage travel-related expenses and reimbursements.
- Work closely with the EA to the CEO to align schedules and ensure that high-priority tasks are completed efficiently.
- Assist with ad-hoc projects and administrative needs that support the overall leadership team.
- Provide backup and support during the EA to CEO's absence or as needed.
- Ensure executives have all necessary resources and materials to support their daily operations.
- Assist with event planning and coordination for company meetings, offsites, or other corporate functions.
- Maintain an organized and efficient workspace for the executives.
Required Knowledge/Experience:
- 4-7 years of experience as an Executive Assistant, Personal Assistant, or similar role, ideally supporting multiple C-level executives
- Experience with calendar management, travel arrangements, and expense reporting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software/tools.
- Experience using Microsoft Teams and Concur Travel and Expense systems is highly desired.
- Experience working in corporate or fast-paced environments
- Knowledge of project management tools or systems is a plus
