A finance firm with offices in Midtown Manhattan seeks a motivated Executive Assistant to support a team of investment professionals. The ideal candidate should have prior experience in financial services and have experience supporting a team.


Hybrid schedule

Hours: 9am - 6pm

Salary: 90 - 100K plus OT and bonus


Responsibilities:

  • Extensive and strategic calendar management, scheduling appointments, reservations, and meetings
  • Handle travel arrangements, including flights, hotels, obtaining visas, passport renewals, or any other travel documents
  • Prepare and distribute agendas, letters, reports, presentations, expenses, and other communications, including confidential documents
  • Screen and respond to incoming calls and correspondence, act as a gatekeeper
  • Manage meeting logistics, including planning, oversight, breakdown, etc.
  • Process and submit expense and reimbursement reports
  • Manage prioritization of internal and external requests for review and approval in real-time daily
  • Provide additional assistance on ad-hoc projects when needed


Requirements:

  • Minimum of 5 years of experience as an Executive Assistant
  • Financial services experience is required
  • Superior interpersonal skills and ability to maintain a calm demeanor in a fast-paced demanding environment
  • Strong problem-solving skills and ability to exercise sound judgment with minimal supervision
  • Excellent organizational skills and ability to maintain a high attention to detail
  • Exceptional written and verbal communication skills
  • Proficiency in MS Office, including Word, Excel, and PowerPoint
