Job Description - Executive Assistant (240002XK)
The Executive Assistant supports the Vice President/Senior Vice President within the Information Technology department by managing complex administrative tasks in a fast-paced setting. This position requires strong judgment, the ability to anticipate needs with little guidance, and the capacity to manage complex scheduling and critical decisions on your own.
Key Responsibilities:
Managing calendars and coordinating with C-suite executives.
Filtering communications to ensure effective use of executive time.
Enhancing meeting productivity through detailed planning, agenda creation, logistics coordination, and follow-up.
Arranging domestic travel and off-site meetings.
Maintaining records of action items.
The ideal candidate is self-driven, adept at resolving issues proactively, implementing efficient systems, and remaining calm under pressure. May provide leadership and guidance to other administrative staff while continuously improving operational processes.
Qualifications:
Bachelor's Degree (Required) or relevant experience beyond the minimum required work experience may substitute for the educational requirement on a 1-to-1 ratio.
4 years of related administrative/clerical experience, preferably in a challenging and fast-paced environment (Required).
Required Skills/Knowledge:
Familiarity with organizational and departmental structures, policies, and practices.
Strong oral and written communication skills necessary to interact diplomatically and tactfully with diverse groups of people.
Ability to interact with all levels of internal and external customers with the highest level of professionalism.
Proficiency with MS Office and other computer applications as required.
Ability to consider multiple variables to determine the proper course of action.
Exercise good judgment in handling sensitive and confidential information and situations.
Functional Accountabilities:
Scheduling appointments and arranging meetings, conferences, and travel.
Organizing and maintaining files of the executive’s correspondence and records.
Facilitating and expediting workflow within the executive’s scope of oversight.
Researching information requests under some general guidance.
May perform some Office Manager duties and oversee the workflow of lower-level staff.
Communications:
Serving as a liaison to other executives, assistants, internal and external customers.
Communicating and/or coordinating the executive’s instructions and desires.
Receiving and screening calls, correspondence, and/or visitors for the executive.
Office Technology:
Preparing routine documents using Word, Excel, or PowerPoint.
Utilizing various software and/or learning new computer applications.
May serve as a resource to others on office equipment and software applications.
Safety:
Speak up when team members exhibit unsafe behavior.
Continuously validate and verify information needed for decision-making.
Demonstrate accurate, clear, and timely communication.
Actively promote safety for patients, families, visitors, and co-workers.
Organizational Accountabilities:
May assist in the formulation of budget and related planning functions.
Help track the overall budget for the executive by monitoring budget reports.
May process invoices, reimbursements, and other payments.

Anticipate and respond to customer needs; follow up until needs are met.

Demonstrate collaborative and respectful behavior.
Partner with all team members to achieve goals.
