Blue Chicken Realty is seeking a highly organized and proactive part time Executive Assistant to support our CEO in managing operations, enhancing productivity, and ensuring seamless daily workflow. This hybrid, part-time role offers the opportunity to work closely with a high-level executive in a fast-paced and innovative real estate environment. The ideal candidate will possess exceptional organizational and communication skills, a problem-solving mindset, and a strong ability to prioritize and execute tasks effectively.



Compensation:

$26 - $28 hourly

Responsibilities:

Executive Support:

  • Act as the primary gatekeeper, managing the CEO’s calendar and scheduling to ensure alignment with priorities.
  • Organize and maintain the CEO’s email inbox, responding promptly and managing follow-ups.
  • Assist in preparing the CEO for meetings, including creating agendas, tracking outcomes, and managing follow-ups.
  • Handle personal administrative tasks as needed.
  • Coordinate and manage travel plans, ensuring a streamlined and low-resistance experience.
  • Provide support with personal tasks as they arise, ensuring the CEO’s focus remains on key priorities.

Operations and Process Management:

  • Drive the creation and optimization of processes, focusing on efficiency and organization.
  • Support and mentor EAs working with other executives in the organization.
  • Manage and refine standard operating procedures (SOPs) for recurring tasks.
  • Coordinate bookkeeping and assist with financial tasks, such as expense tracking and reconciliation.

Bookkeeping and Financial Management:

  • Maintain and reconcile financial records, including expense tracking and invoicing.
  • Support bookkeeping tasks using tools like REI Simply and other financial software.

Project and Event Management:

  • Lead and support special projects, ensuring deadlines and deliverables are met.
  • Plan and coordinate internal meetings, team events, and minor external engagements.

Technology and Data Management:

  • Implement and manage key tech tools and platforms, including REI Simply, Google Suite, and brokerage management software.
  • Ensure accurate data management across databases, CRMs, and project management tools.

Expected Results

  • Maintain a seamless and organized schedule for the CEO, ensuring no calendar conflicts and timely updates.
  • Respond to all emails requiring the CEO’s attention within 24 hours.
  • Ensure all meetings have clear agendas and objectives, with no scheduling conflicts.
  • Support a consistent cadence for weekly communication and follow-ups.
  • Facilitate opportunities for the CEO to unplug from work after 5 PM regularly.


Qualifications:
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting a high-level executive.
  • Exceptional organizational and multitasking abilities with a keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in relevant tech tools, including Google Suite, REI Simply, Dot Loop, and brokerage management software.
  • Ability to maintain confidentiality and exercise discretion in all interactions.
  • A proactive, problem-solving mindset with strong decision-making skills.

Compensation and Benefits

  • Schedule: 20 hours per week, hybrid setup.
  • Compensation: $30,000 annually.
