We have an immediate need for a dynamic and resourceful Administrative Assistant to support the C-Suite of an investment firm located in downtown Chicago. The ideal candidate will have at least 2+ years of administrative experience and exposure to C-level executives in a mid-sized firm. Responsibilities include managing calendars, handling complex travel arrangements, organizing and submitting expenses, and assisting in coordinating events and meetings. Our team values daily collaboration in the office with in-office presence Monday through Friday. RESPONSIBILITIES:
- Greet guests, answer phones and respond to executive level correspondence
- Calendar support, prioritize inquiries and requests while troubleshooting last minute changes and keeping things running smoothly
- Managing complex travel logistics (domestic and international) and keeping up with last minute changes
- Organize and submit complex expense reports through Concur
- Handle a variety of administrative tasks including drafting correspondence and thank you letters, entering/updating information in databases, and answering phone calls as needed
- Schedule, plan, and organize company events such advisor board meetings and annual investor meetings
QUALIFICATIONS:
- Bachelor’s degree required
- Stability in previous positions
- 2+ years administrative support experience with prior exposure interacting with C- level Executives (financial industry preferred)
- Knowledge of MS Office Suite, including MS Outlook, Word, Excel, PowerPoint
- Ability to work collaboratively with the Executive support team, Executive Leadership team, and the broader corporate teams
- Maintain a positive attitude and can work in a fast-paced environment while juggling multiple tasks and demands
- Exhibit excellent written and verbal skills
- Must be available to start within 2 weeks and work in the office Monday- Friday
COMPENSATION:
$70,000 -$80,000, with a discretionary bonus, comprehensive benefit plan, 401k and superior working conditions with a great work/life balance.
