TMB, Inc has a contingent opportunity for an Executive Assistant to provide support to the Team Ships Front Office (TSFO).
Responsibilities:
Prepare high quality, executive-level briefings, reports, and other documentation in support of customer programs.
Manage the calendar/schedule for the Program Executive Office Ships Executive Staff.
Manage, track, and maintain official correspondence.
Draft correspondence for visits of senior executives
Prepare correspondence and interoffice communications for daily distribution.
Serve as point of contact for all Defense Travel System (DTS), foreign travel, and passport transactions.
Generate detailed travel and meeting itineraries.
Maintain Travel Books.
Maintain the organization chart, phone roster, emergency contacts list, and muster listing.
Plan and coordinate meetings, events, and ceremonies as required.
Coordinate meetings with Senior Officials and Industry offices.
Print weekly reports from contractors in preparation for meetings.
Strategically schedule and perform calendar management with respect to priorities, goals, and objectives.
Provide preparation for meetings and ensure read ahead material is received/distributed in advance.
Monitor inbox and draft email correspondence as required.
Administer the leave calendar.
Interact frequently with Navy and civilian personnel, must have outstanding verbal communications skills.
Make sound decisions and valuable recommendations that reflect subject matter competence and good judgment.
Other duties as assigned.
Qualifications: Bachelors degree or equivalent U.S. military service experience.
Must be a United States citizen.
Must have Navy EA experience, preferably NAVSEA and Flag level EA experience.
Strongly prefer U.S. Navy experience as a military member, civilian employee, or support contractor.
Must possess an active DOD Secret security clearance.
Proficiency using the Microsoft Office suite including Word, Excel, and PowerPoint.
Outstanding verbal and written communications skills.
Outstanding time management and organization skills.
Ability to perform frequent internal and external customer interface including regularly scheduled and ad hoc meetings.
Ability to be able to travel reasonable distances (up to mile one way) to meet with customers or other company personnel in the execution of job functions.
Ability to be able to lift and carry up to 25 pounds in a backpack or messenger bag in order to carry a laptop, notebooks, papers, binders and other tools and equipment required in the execution of job functions.
Salary
$90K - $120K.
