Job Summary:
Under direct supervision of the AR & AP Supervisor, the Accounting Assistant will assist with the processing of invoices, payments, and aging reports. In collaboration with the Supervisor, reviews accounts receivable/payable related documents to ensure accurate processing.

Under direct supervision of the AR & AP Supervisor, the Accounting Assistant will assist with the processing of invoices, payments, and aging reports. In collaboration with the Supervisor, reviews accounts receivable/payable related documents to ensure accurate processing.

Principle Duties and Responsibilities:
  • With guidance from Supervisor, prepares contractual documentation and support for contractual customers invoices for department administrators' review.
  • Follows documented procedures to create monthly customer invoices, maintains customer account information and, applies cash receipts daily.
  • Assists with purchase orders and vendor invoices to accurately process payments to vendors.
  • Assists with ensuring accounts payable/receivable documents are compiled according to established procedures.
  • As directed, prepares accounts receivable aging reports for collection analysis.
  • Periodically reviews and reconciles vendor accounts for accuracy of payments and proper adherence to internal control procedures.
  • Periodically assists Accounting Director with reconciliations of general ledger accounts
  • Performs routine accounting duties as requested.
  • Other duties may be assigned.
Education, Licensure/Certification, and Training Required for the Job:
  • Minimum requirement of Associates degree with concentration in accounting or Finance
  • Bachelor's degree in Accounting preferred
  • 1-year related experience
Skills and Abilities Required:
  • Knowledge of accounting and business practices and principles
  • Problem-solving skills
  • Ability to communicate clearly in both written and verbal correspondence
  • Commitment to detailed financial accounting and reporting
  • Strong organization skills, must be detailed oriented.
  • Ability to multi-task
  • Ability to follow up on pending issues and meet deadlines.
Working Conditions/Schedules:
  • 40 hour work week, hours and days to be determined by the business needs of the department. Additional hours may be required
