Recording Secretary

Status: Part-time temporary position, non-exempt

Salary: $20- $23/hour

Hours:Varies, approximately one to three evenings per month

Location: City Center

Reporting Relationship: Reports to City Clerk

Administration

The Administration Department includes the divisions of Communications, Facilities, Human Resources, Information Technology and Finance, which includes liquor operations. The function of the Administration division ranges from managing City Boards and Commissions and public relations to public records and budget. Each division in the Office of City Manager also provides a support role for city government.

Position Responsibilities

The Recording Secretary provides clerical support to the City Clerk related to City Council, Board and/or Commission meetings. This position is primarily responsible for the following areas of impact:

  1. Attends Board and/or Commission meetings as scheduled.
  2. Summarizes information while capturing decisions made and the thought process that led to them.
  3. Produces an accurate, concise, and complete record of the meeting in a timely manner and free of typographical, grammatical and technical errors.
While these areas are the primary focus of the position, we believe strongly in teamwork and employees will be called upon to perform a variety of duties as a part of their role with the City.

Position Requirements

Work Experience: Experience in taking official minutes; experience in City government preferred.

Education: High school degree or equivalent (G.E.D.).

Technical Skills: Proficiency in Microsoft Word.

Organization: Ability to coordinate several activities, responsibilities, and tasks simultaneously in a polite and professional manner; prioritizes what needs to get done; keeps things neat and orderly; utilizes tools for efficiency; factors several considerations when planning; establishes methods to ensure routine tasks are completed.
