PRIMARY PURPOSE:
Facilitate the efficient operation of Curriculum Office and provide clerical services to the
assigned administrators.

QUALIFICATIONS:
Education/Certification
High school diploma or GED

Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance
Effective organization, communication and interpersonal skills
Ability to follow written instructions
Ability to operate multi-line phone system

Preferred Experience:
Three years of successful secretarial experience preferably in a public education environment

MAJOR RESPONSIBILITIES AND DUTIES:
Records and Reports
  1. Organize and manage the routine work activities in the Curriculum Office.
  2. Perform routine bookkeeping tasks, including simple arithmetic operation, for the department.
  3. Maintain a schedule of appointments and make travel arrangements for department staff.
  4. Prepare correspondence, forms, reports, etc. for the director
  5. Compile, prepare and submit various reports for the department.
  6. Maintain departmental files.
Reception, Phones and Correspondence
  1. Receive incoming calls, take reliable messages, and route all to appropriate staff.
  2. Receive, sort, and distribute mail and other documents to staff members.
Other
  1. Maintain confidentiality of information.
  2. Participate in staff development training programs when appropriate.
  3. Keep informed of and comply with all state and district policies and regulations concerning primary job functions.

Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
Lifting: Frequent light lifting and carrying (less than 15 pounds); Occasional moderate lifting/carrying (15-44 pounds).
Environment: May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
