Job Title:     Private Secretary II

Location:     630 S. College St., Springfield, IL – Sangamon County
Salary:         Starting salary $45,000.00 yearly - commensurate with experience

Overview:
Performs a variety of responsible and confidential secretarial and administrative duties for the Director of the Court of Claims; reviews, prioritizes and distributes incoming mail; prepares draft responses for Director's editing and/or approval; serves as liaison to Court of Claims Administrator's Office, Judges and Commissioners; assists clerical staff involved in filing and proofing court documents. 

Duties and Responsibilities:
  • Reviews, prioritizes, and distributes incoming mail and correspondence; provides any confidential materials to the Director’s attention; prepares draft responses for Director’s editing and/or approval.
  • Services a liaison to the Court Administrator’s office by preparing and implementing a weekly complex report pertaining to the case files.
  • Provides support services to the Judges, Commissioners, Counsel, Administrative Staff, and claimants when requested by exporting documents via email, fax, or general mail.
  • Serves in various liaison roles with Archives regarding the department’s retention practices, as well    as the FOIA point of contact obtaining/redacting documents to meet requests, and with Physical Services regarding parking inquiries.
  • Assists clerical staff involved in filing and proofing court documents.
  • Performs other related duties as required or assigned.                          
Education and Experience:
Requires knowledge, skill and mental development equivalent to completion of four years high school, with courses in typing in general office procedures, preferably supplemented by additional courses in business and office management, secretarial practices and shorthand and three years progressively responsible clerical experience including secretarial work.

Knowledge, Skills and Abilities:
  • Requires thorough knowledge of business English and secretarial procedures and practices.
  • Requires thorough knowledge of office methods, policies and procedures.
  • Requires thorough knowledge of the operation, organization and governing laws and regulations of the department concerned.
  • Requires ability to compose confidential and administrative correspondence without specific instructions or review.
  • Requires ability to exercise independent judgment in interpreting departmental rules, regulations and policies.
  • Requires ability to exercise courtesy and tact in receiving callers and dispensing and obtaining information.
  • Requires ability to operate a typewriter rapidly and accurately.
  • Requires ability to analyze operational problems and recommend viable solutions.
  • Requires ability to plan, supervise and coordinate the activities of a clerical staff.
  • Require the ability to lift/carry up to 25 lbs. and push/ pull 25-50 lbs. items on wheels.
