Truce Law is looking for a part-time Office Assistant to provide daily support to our administrative team from our new office overlooking the canal in Seattle's Fremont neighborhood.

Our law firm sets itself apart by marketing to clients who are looking for a low-conflict collaborative divorce, with contested divorce cases being a last option at our firm. As an Office Assistant, you'll work closely with the legal team handling all incoming mail and outgoing mail requests, which can have strict deadlines. Our clients and legal team will lean on you to be reliable, as running the mail in a law firm is a critical function. In addition, you'll take the lead on initiatives to welcome people to the firm, such as sending new client Welcome Packages and sending handwritten Thank You Cards to clients as their cases conclude (Excellent penmanship is a plus). When people visit the office, you'll welcome them and ensure that they're taken care of with food and refreshments. We'll also ask you to be creative and help us design firm-branded SWAG, which we'll share with the team.

Responsibilities

•Provide critical support to the legal team, by processing incoming and outgoing mail requests, which directly impact the outcome of clients' cases.
•Draft handwritten Thank You Cards to clients at the conclusion of their cases.
•Work closely with the Office Manager and Client Happiness Coordinator to ensure professional referral partners are acknowledged and that clients are provided excellent service by business that we recommend.
•Review our New Client Welcome Package once per quarter and ensure that all new clients receive a welcome box within one week of onboarding.
•Ensure new staff receive business cards and an Employee Welcome Package by their first day of employment.
•Collaborate with teammates to identify and order high quality Firm branded SWAG
•Greet and support clients, vendors and staff that are visiting the office by offering coffee, tea and water, as well as ordering food for conference room meetings, scheduled to last over three hours.
•Assistant Firm's Finance Team by managing the weekly Accounts Payable report.

Qualifications

•Shows ability to quickly finish very detailed work
•High school diploma or GED required
•Enjoys talking with customers and can communicate through verbal and written channels
•Customer service, bookkeeping, or administrative experience is preferred
•Proficient in basic computer software and can quickly learn to use new programs
