Position Description
The Sporting Executive Assistant (EA) plays a critical role in ensuring seamless administrative operations for the Sporting Director and provides support to the Sporting Leadership Team. Reporting directly to VP of Sporting Operations, the Sporting EA is responsible for managing schedules, communications, and projects, and acting as a key liaison between the Sporting Director and both internal and external stakeholders.

Position Description
The Sporting Executive Assistant (EA) plays a critical role in ensuring seamless administrative operations for the Sporting Director and provides support to the Sporting Leadership Team. Reporting directly to VP of Sporting Operations, the Sporting EA is responsible for managing schedules, communications, and projects, and acting as a key liaison between the Sporting Director and both internal and external stakeholders.
Primary Responsibilities
- Calendar & Travel Management: Manage the Sporting Director's calendar with a proactive approach, handling travel arrangements and resolving scheduling conflicts to maximize the Director's time efficiently.
- Communication Management: Draft, review, and edit correspondence for the Sporting Director, ensuring clarity and tone align with the organization's standards. Act as the first point of contact for incoming communications and prepare communications to the Sporting Leadership and staff.
- Presentation & Meeting Support: Assist in creating visually compelling presentation materials and templates. Provide support during meetings by note-taking and ensuring action items are tracked for both the Sporting Director and the Sporting Leadership Team. Liaise with Strategy department to update presentations and data.
- Project Management & Research: Provide assistance on special projects, including conducting research, analysis, and progress tracking to meet deadlines and deliverables effectively.
- File & Data Organization: Maintain, update, and organize the Sporting Director's files and documentation, ensuring quick access and up-to-date records.
- Liaison & Relationship Management: Serve as the primary liaison between the Sporting Director and various internal teams as well as external stakeholders, ensuring smooth and efficient communication.
- Event Coordination: Plan, organize, and manage logistics for events and meetings attended by the Sporting Director, such as Sporting Leadership off-site sessions and U.S. Way events.
- Travel & Expense Management for Direct Reports: Manage approvals (Concur, Paylocity, etc.) travel, vacation requests, on behalf of Sporting Director. Review and submit expenses for the Sporting Director. Submit internal forms to finance and HR and ensuring compliance with organizational policies.
- Additional Leadership Support: Provide travel and presentation support to other Sporting Leadership members as needed to ensure the team operates effectively.
- Confidentiality & Discretion: Handle all sensitive and confidential information with the utmost discretion, maintaining a high level of professionalism.
Requirements
Minimum Qualifications
- Bachelor's degree or equivalent experience.
- 3+ years as an executive assistant or similar role, preferably supporting C-level executives.
- Strong organizational, communication, and problem-solving skills.
- Proficiency in Microsoft Office Suite; Asana and Salesforce experience a plus.
- Ability to work independently and in a team in a fast-paced environment.
- Experience in sports or related fields is a plus.
