Role
The Director of Event Operations oversees all aspects of preproduction, onsite execution, and postproduction for events with 10,000+ attendees. This role requires extensive knowledge of the music and live events industry, a deep commitment to sustainability, and proven expertise in managing complex logistics, vendor relationships, and staffing.
This role is based in
Los Angeles, CA , with travel required for events. Key Responsibilities: Pre-Production Phase Manage administrative tasks, create contracts for staffing and client activation plans. Oversee budgets and collaborate with the Operations team, customer, and the CFO. Recruit and maintain r.Crew, building a comprehensive staffing database for festivals and events. Collaborate with sustainability teams and production crews to implement effective waste management systems. Finalize inventory, delivery schedules, and logistical requirements for event setup, including staging vehicles and freight. Work with marketing teams to develop and align event signage, social media assets, and onsite materials. Partner with merchandising teams to ensure gamification and promotional activations are planned and ready. Organize delivery plans with Operations, load-in schedules, and necessary equipment rentals (e.g., golf carts, heavy machinery). On-Site Activation (Load-in/ Build Phase) Oversee loading, freight coordination, and delivery of inventory. Supervise site mapping, including placement of waste management bins in collaboration with sustainability and janitorial teams. Train sustainability, catering, janitorial, and bar staff on reusable cup operations. Set up r.World booths, marketing materials, and gamification merchandise. On-Site Activation (Event Day/s Phase) Ensure all waste management systems and bin placements are fully operational. Conduct walkthroughs with sustainability teams to verify readiness. Supervise r.Crew, assigning roles, schedules, and tasks throughout the venue. Monitor back of house waste yards to ensure proper disposal and prevent misplacement of reusable items. Adapt quickly to production and artist needs, mitigating cup loss and maintaining high operational standards. Provide support to r.Crew, ensuring they have water, snacks, and first aid supplies as needed. Post Event Phase Lead end-of-show ground sweeps and oversee janitorial staff in collecting reusable materials. Manage booth teardown and inventory returns. Conduct postmortem reviews with clients, vendors, and internal teams to identify opportunities for improvement. Key Qualifications Experience: Minimum of 7 years in food & beverage, hospitality, or project management within the live events or music industry. Extensive knowledge of live event logistics, including advancing for tours and festivals. Strong understanding of sustainability practices in events, venues, and operations. Proficient in budget management, contract creation, and recruitment. Experience training and managing large teams, including freelance contractors. Ability to lift 50 lbs or more, perform 15-hour event days, and adapt to high pressure situations.
