Job Description
Summary/Purpose
The Receptionist serves a critical role as the first point of contact for all students, staff and visitors to Summit Academy OIC. This person is responsible for: greeting all students, staff and visitors (prospective students, donors, government representatives and others); answering all incoming calls; and performing administrative duties to support the Enrollment Services Team.
Essential Functions

- Answers all incoming calls to a 7-line switchboard and directs callers to the appropriate staff member.
- Provides information about Summit Academy OIC and its programs to callers and visitors.
- Greets and directs all visitors to Summit Academy OIC.
- Ensures visitors sign in, are issued a visitor I.D. and are escorted by a staff member throughout the building at all times.
- Manages the check-in process for all prospective student information sessions.
- Receives, sorts and forwards incoming mail, packages and other deliveries as appropriate.
- Coordinates the pick-up and delivery of express mail and courier services (e.g. FedEx, UPS, etc.).
- Assists in the ordering, receiving, stocking and distribution of office supplies.
- Maintains room reservation schedule for all conference and meeting rooms and the activity center.
- Maintains appearance and neatness of the lobby.
- Coordinates with Marketing to ensure electronic signage is updated continually.
- Works closely with Support Services in ongoing enrollment initiatives such as confirming student attendance, entering data into student database, etc.
- Assists with a variety of administrative tasks as assigned, including but not limited to: preparing student information packets; tracking calls of inquiry from prospective students in the student database; scheduling testing appointments; scheduling financial aid appointments; distributing student parking permits; and ordering employee business cards.
- Other duties as assigned.
Knowledge, Skills and Abilities
- Excellent communication skills, both in person and over the phone, including: verbal, written, listening and interpersonal skills.
- Ability to interact and build rapport with diverse individuals from all walks of life, from prospective and current students to high level donors and government officials.
- Strong organizational skills and the ability to prioritize and multitask.
- Customer-service orientation.
- Ability to remain flexible and adapt quickly to changing situations.
- Ability to work efficiently and accurately in a fast-paced environment with multiple interruptions.
- Strong administrative skills, including demonstrated proficiency in Microsoft Office and data entry; experience with CampusVue is a plus.
- Ability to accurately capture messages and information.
Supervisory Responsibility
None.
Work Environment
This role operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing and distribution of mail and packages is required. This would require the ability to occasionally lift light loads, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a full-time, non-exempt position under the Fair Labor Standards Act (FLSA). It is eligible for overtime pay if previously approved hours exceed 40 per week. The expected hours of the position are Monday through Friday, 7:30 a.m. – 4:30 p.m.
Travel
No travel is expected for this position.
Required Education & Experience
- High school diploma or GED.
- A minimum of one year of experience in a receptionist role in a professional office environment.
Preferred Education & Experience
- More than one year of experience in a receptionist role.
- Professional experience in an adult education setting.
