Description of Job The purpose of the Motor Vehicles Investigations Unit (MVIU) within the Department of Motor Vehicles is to investigate and prevent fraud concerning the use of driver's licenses, identification cards, motor vehicle titles and registrations, and other motor vehicle documents issued by the department. Also assist victims of identity theft by means of such documents. We're hiring an Administrative Assistant III to support the Investigations and Law Enforcement Communications Center (LECC) in the MVIU. This position will have a unique opportunity to not only serve as a source of support for these units in MVIU, but will also be a program lead for a highly sensitive program within the Investigations unit. Duties for this position include, but are not limited to: Case Intake Management Reviews all case referrals and uses the case management intake procedures to determine if a case requires activation Assures all case information is collected and entered into DRIVES and that all supporting documents are scanned and uploaded into the case file. Prepares digital case files for all cases. Monitors the Request for Investigations on a daily basis and corresponds with offices that are missing information in their referrals. MVIU & LECC Program Support Provides assistance with answering phones, and all other administrative functions while full time staff is unavailable Facilitates travel for staff by developing itineraries and agendas, booking transportation, arranging lodging, and meeting accommodations Responding, via teletype, telephone and email to messages received from law enforcement requestion information Reviews all web content on a monthly or as-needed bass to ensure information is updated and accurate on the departments intrant and internet Support Positions Back Up Provide support to other Investigative & Support unit positions Processing calls from multiple phone lines from various callers Managing calendars, scheduling meetings, drafting correspondence, recording meeting minutes, and coordinating interactions and communications with other local, state, and federal criminal justice agencies This position reports to the Cole office every Wednesday and will require additional office work days as needed. Class Code & Classification Description: G3A4XXADMINISTRATIVE ASSISTANT III MINIMUM QUALIFICATIONS: Experience Only: Three (3) years of relevant experience in general clerical work General Clerical work experience is typically performed by office clerks and/or administrative assistants this includes, but is not limited to tasks such as: Experience providing exceptional customer service; interfacing with a variety of people from many levels within the organization and community. Data Entry including: entering information into a program or database (appointments, contact information, customer records) Regular work responsibilities utilizing equipment and software used in offices (E-Mail, Microsoft Office programs (Word, Excel, PowerPoint), Google Apps, etc.) Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies Typing professional emails, letters, reports, briefings, forms, memoranda, etc. Reviewing and comparing data for accuracy and completeness. OR Education and Experience: A combination of related education and/or relevant experience in general clerical work equal to three (3) years Preferred Qualifications: The ideal candidate will possess the following skills: Excellent customer service skills with a proficiency for de-escalating customer interactions Experience with DRIVES Experience with Google Suite Strong ability to problem solve in a variety of situations Able to multi-task effectively, including strong time management experience History of working with information that is extremely confidential Bi-lingual experience (Spanish speaking preferred) Conditions of Employment with theCDOR: Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.
