Learn more information here PURPOSE This position is responsible for providing support to Residence Life and the Residence Experience in Islander Housing, and the director by performing administrative duties for staff members and supporting student development and event planning as needed. DESCRIPTION Functional Area 1: Administrative Support Percent Effort: 60% Coordinates daily office support activities and administrative interactions. Assist in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters. Provide organizational planning and problem-solving skills. Researches and analyzes administrative requirements for specific programs or projects. Provide technical information regarding administrative procedures, services, or programs. Develops procedures for complex or specialized functions. Responds to inquiries and interprets rules, regulations, policies, and procedures. Monitor compliance with policies and procedures. Maintains a variety of administrative, departmental and student records. Verifies, processes, and reviews forms, reports, tables, and other documents. Perform special analyses and project summaries. Coordinate meetings, seminars, and other special events. Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives. Functional Area 2: Office Management Percent Effort: 25% Maintains divisional employee/contact/birthday rosters on a continuous basis. Arranges all travel for department and student travel (i.e. tropical storm evacuation) using the University provided travel tools and in compliance with travel policies. Processes pre-travel requests and post-travel expense reports in a timely manner. Handles and processes director's procurement and p-card expense report for purchases while ensuring compliance with the established guidelines, state regulations, and University policies. Works closely with professional staff in the department. Receives and disseminates mail both, incoming/outgoing. Maintains and orders departmental supplies/equipment as needed. Functional Area 3: Customer Service Percent Effort: 15% Provides backup assistance in answering phone lines and takes messages for staff. Provides service excellence and strives to meet or exceed caller needs with answers for basic questions and assistance finding solutions for callers. Engages in active listening with callers, confirms or clarifies information and diffuses angry callers, as needed. Ensures excellent customer service skills and support for all staff members, guests and students. Provides backup/team support for other support staff in office. QUALIFICATIONS High school diploma or GED Four (4) years of related experience. Additional education may be considered as a substitute for the minimum experience requirement: Associate's degree and two (2) years of related experience. Bachelor's degree. Intermediate skills with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), and the internet. Ability to multi-task in a fast paced environment. Detail-oriented with a high degree of accuracy maintaining records and have excellent organizational skills. Strong written and verbal communication skills to be able to communicate courteously and effectively with students, faculty, staff, and public. Strong interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality. PREFERRED QUALIFICATIONS Associate's Degree Work experience at the collegiate level. History of Strong Customer Service skills. Experience/Knowledge of Workday, BANNER, Canopy, StarRez, FAMIS, Argos, CONCUR, Laserfiche SALARY: Up to $39,998.40/annually, approximately. Up to $19.23/hourly.
