Learn more information here PURPOSE The Administrative Coordinator I works under general supervision and provides advanced administrative support to the Division of Research and Innovation, exercising discretion and independent judgement with respect to matters of significance. RESPONSIBILITIES Administrative: 55% Provides advanced administrative support to Division of Research and Innovation (R&I) Assists and maintains calendars and office schedules for executive leadership Responsible for office reception area duties including, but not limited to, ensuring reception area coverage, responding to inquiries, monitoring department email, answering phone calls, and greeting students and visitors Demonstrates professionalism and quality customer service by developing positive working relationships with office personnel and various stakeholder groups Follows all TAMU-CC Procurement Card (Pcard) guidelines and internal R&I policies to remain compliant in purchasing. Responsible for Pcard reconciliation and expense reports, including submission in a timely manner Books efficient and cost-effective airline, hotel, and other travel reservations (conference registration, cancellations, and changes) within university and R&I guidelines. Processes travel authorizations and expense reimbursements in a timely manner Operations: 30% Assists senior staff with executive-level visits, meetings, and events Assists with the planning and execution of R&I events including, but not limited to, scheduling, catering, décor, and facility arrangements Processes and maintains complex confidential matters Assists with R&I special projects and initiatives Assists with reviewing and verifying R&I materials (including but not limited to reports, website, presentations and other communications) for accuracy, flow, grammar, etc. Monitors follow up action steps on correspondence on behalf of R&I May supervise and train student employees Assists with purchasing and sourcing of supplies and other items for R&I events and special activities Support: 15% Maintains division website by processing changes and updates Coordinates and maintains R&I social media presence across platforms, including creating compelling content Assists R&I with producing and promoting of events via R&I website, calendar, and on campus Attends events for administrative support as needed during or after normal business hours (this may include weekend events) Other duties as assigned QUALIFICATIONS Bachelor's degree Two (2) years related experience Additional education/experience may be considered for the minimum requirements. Associate degree and Four (4) years of experience, OR Master's degree Knowledge, Skills, and Abilities Intermediate skills in Microsoft Office 365 (Word, Excel, PowerPoint, and Outlook).
